We currently have an opening for a Legal & Office Administrator at our Dartmouth, NS location.
**The Position**:
**Responsibilities**:
The key responsibilities of the role include but are not limited to:
- Set up, organize, file, and maintain paper and electronic filing systems in accordance with recognized procedures and standards. This includes the development and administration of contract management systems, actions, and processes, as well as maintaining insurance coverage.
- Manage DocuSign requests (R&D patent documents, NDAs, Board governance documents, etc.).
- Manage and maintain common and office space (booking meeting rooms, maintaining inventory of office supplies, IT duties related to equipment management and procurement for the office, etc.).
- Assist with coordination, preparation for, and follow-ups to Board of Director and shareholder meetings.
- Manage correspondence and deadlines for responses and filings related to legal matters, including corporate maintenance obligations and intellectual property filings.
- Plan, schedule, coordinate, and assist in preparation for conferences, meetings, and travel arrangements.
- Act as the first point of contact for office / lab visitors to the facility and organize any requirements for visits (catering, etc.).
- Research additional information needed for legal function and/or projects.
- Other related tasks as required to fill gaps and ensure smooth operation of the Mara office, its legal office, and company records.
**Required Skills & Experience**:
- Post secondary education or equivalent experience in business/office administration, commerce, legal admin, paralegal studies, or a related field is required.
- Minimum 3 years experience in an office, legal, and/or contracts administrative role.
- Ability to maintain confidentiality and to exercise discretion and good judgment.
- Exceptional organization skills with the ability to multi-task, stay focused, and self-manage.
- Excellent technical abilities for various computer programs (i.e., Office 365 programs, Docusign, etc.).
- Ability to grasp and interpret legal documents.
- Excellent interpersonal, written, and verbal communication skills.
- Administrative skills related to contract management such as notetaking, task generation, organization, delegation, and prioritization.
- Ability to work well under pressure and meet deadlines.
**Desired skills and experience**:
- Experience overseeing contract management administrative processes is highly desirable.
- Administrative experience in a corporate legal environment is preferred.
