Position Overview:

- Schedule: Monday to Friday, 8:30 AM - 3:30 PM (30 hours/week)
- Pay: $24/hour
- Location: 250B Algoma St South, Thunder Bay, ON
- Start Date: May 2025 (flexible)
- This is an in-person role based at our Thunder Bay office.
- This role offers an opportunity to build experience in the financial services industry, with the potential for future growth as the firm expands.

What You’ll Be Doing:

- Keeping the office organized - handling digital and paper filing, managing and scanning in mail, and making sure supplies and equipment are stocked and ready.
- Completing documentation for various investment and insurance transactions, and following them through from processing to completion.
- Helping set up our new CRM (Client Relationship Management) system and continue to keep our client records and meeting notes up to date within the CRM.
- Helping maintain a clean, welcoming office space with light cleaning duties (like sweeping, dishes, and taking out the trash/recycling).
- Reporting directly to the Owner and Lead Financial Planner.

What We’re Looking For:

- Experience in an administrative role, and/or in financial services
- Comfortable using CRM software (or willing to learn).
- Bilingual in French and English is an asset, but not required.
- A proactive, positive attitude and a genuine willingness to learn.
- Strong communication skills and the ability to build rapport with clients and colleagues.
- Excellent organization, time management, and attention to detail.
- Ability to handle confidential information with care and professionalism.
- Familiarity with programs like Microsoft Office (Outlook, OneDrive, Word, Excel), Adobe PDF, DocuSign, QuickBooks, and CRM systems (Zoho, Salesforce) is an asset.
