**Scope for the position**:

- Maintain positive cash flow through collecting receivables, ensuring Manufacturer Charge Backs are billed accurately for marketing initiatives, and assisting in the Ecology Tax reporting process.

**Basic function of the position**:

- Collecting customer payments of invoices on a daily basis
- Marketing Manufacturer Chargebacks processing
- Monthly and annual ecology tax reporting

**Duties and Responsibilities**:

- Maintain accounts receivable records to ensure aging is up to date, credits and collections are applied, uncollectable amounts are accounted for, and miscellaneous differences are researched
- Run past due & 7 bucket aging reports
- Releasing orders after account review
- Review and ensure resolution of outstanding customer issues in a timely manner
- Health food, grocery and mass account reconciliation
- Utilize customer portals as required
- Processing credit card payments
- Follow up and resolve all outstanding balances as per company policies and guidelines
- Ecology tax report preparation and remitting
- 3rd Party Manufacturing Chargeback preparation
- Expense report auditing
- Perform other duties as assigned

**Required qualifications, education, experience, training, skills, background, and certifications**:

- Highschool Diploma with relevant work experience
- At least 3 years of AP Coordinator experience
- Solid understanding of basic accounting principles, fair credit practices and collection regulations
- Ecology tax experience an asset
- Excellent customer service experience required
- Excellent phone manner required
- Strong multitasking abilities required
- Confident decision making abilities
- Detail oriented
- Strong problem solving skills
- Knowledge and proven ability in MS Word and Excel required
