Nature of the Work
- Reporting to the Associate Dean of Academic Systems this manager is responsible for Admissions, Records and Registrar’s reception counter services. The manager is also responsible for the development and operation of systems required for their area of responsibility, and the verification and control of procedures and budgets in their area.**Responsibilities**:
- Ensure that the Records Systems information service provides accurate information to the public and to the Dawson community.
- In collaboration with the Associate Dean of Academic Systems, be responsible for the admission of all students (day and continuing education) to the College in accordance with Ministry regulations and College Bylaws and policies.
- Participate in the establishment of the critical path for all admissions activities and ensure that all objectives and deadlines are met.
- Maintain close liaison with counterparts at the other Anglophone colleges as well as High School guidance counsellors.
- Ensure that information pertaining to admissions procedures and requirements that appears in College publications is both clear and accurate.
- Oversee the High School liaison process.
- Present admissions information at the annual Guidance Counsellors’ sessions and open house.
- Schedule activities and supervise the day-to-day operations related to including the hiring, training, supervision and evaluation of regular as well as part-time and student help when required.
- Oversee the accurate recognition of credits earned at non-CEGEP institutions, including equivalencies and recognition of prior learning.
- Develop, implement and maintain a records management program in compliance with the College’s policies and government’s legislative policies as they pertain to the maintenance, retention, storage and disposal of student records.
- Analyze, make recommendations and implement records procedures that ensure College provides accurate and timely service and adaptability to changing user requirements.
- Receive and deal with requests for late grade changes, late course and college withdrawals and other exceptional changes to student records.
- In conjunction with the Information Systems technology department, responsible for ensuring optimal function and efficiency of all systems related to areas of responsibility.
- Provide the Associate Dean of Academic Systems and Dean of Academic Systems with statistics in these areas of responsibility.
- Participate in budget planning and monitor and control budgets in areas of responsibilities.
- All other related responsibilities and tasks related to Academic Systems.
**Requirements**:
- Qualifications
- An undergraduate’s degree in an appropriate specialization and a minimum three (3) years relevant experience.
- Conditions
- Is highly organized and is a team player
- Has experience in the development and implementation of computer systems from a user’s perspective
- Has strong interpersonal skills
- Is proficient with current office software (Word, Excel, etc.)
- Has advanced communication skills in both English and French (testing may be required)
- Project management experience would be an asset.
