**JOB SUMMARY**

Under the direction of the Manager, F/A, the Administrative Coordinator is critical to the smooth logístical, administrative and day to day functions of ITK and will be responsible for supporting the planning and overseeing administrative support for ITK, including administrative support for other ITK departments.

This individual must demonstrate a strong attention to detail and the ability to balance multiple demands simultaneously.

The incumbent will also assist with other F/A departmental administrative and/or financial duties as directed and act as a back up to other members of the F/A department.

**KEY ACCOUNTABILITIES**

ADMINISTRATIVE
- Assist ITK’s Directors as needed in the coordination of their administrative requirements i.e., meeting logistics, meeting preparation, and general administrative tasks;
- Provide support for ITK’s projects (i.e., documenting project plans and meeting minutes, assisting in the preparation of meeting binders, calendars, progress reports or updates as required);
- Assist in identifying and developing internal procedures and policies required for implementation of departmental operations;
- Prepare reports, records, tables, and related project correspondence and documents as required;
- Attend meetings as needed and prepare minutes for distribution;
- Act as support for the Administrative Department as needed.

FINANCIAL
- Act as support to the Finance and Travel Administrator with travel booking, scheduling, and receiving invoices for completed travel and accommodations;
- Assist the Finance and Travel Administrator with reconciliation of invoices, travel claims, credit card statements; and,

HUMAN RESOURCES:

- Provide administrative support to Human Resources, as needed i.e., scheduling, filing, and onboarding.

INTER-RELATIONSHIPS:

- Represent the department at internal meetings, or on internal committees or working groups as assigned by the director;
- Must have strong interpersonal skills;
- Must be able to work as part of a team with staff and members of Inuit organizations; and
- Sensitive to local, political, and cultural issues.

**QUALIFICATIONS**

KNOWLEDGE AND SKILLS
- Excellent organizational, problem-solving skills and attention to detail;
- Ability to handle sensitive information;
- Ability to exercise sound judgment and prioritize workload with mínimal supervision;
- Ability to function well in a high-paced environment with frequent tight deadlines;
- Must have excellent oral and written communication skills, primarily in English and Inuktitut is considered an asset;
- Advanced computer skills in Microsoft Office (Word, Excel, Access, and Outlook);
- Some knowledge and understanding of Inuit land claim organizations.

EXPERIENCE
- Minimum of two years in a similar position i.e. office coordinator or administrative assistant; and
- Experience in office administration.

EDUCATION
- A certificate or diploma in a related field of study i.e., business administration, or
- Any combination of education and experience providing the required skill and knowledge for successful performance is evident.
