**Job Summary**:
The **Medical Receptionist** position encompasses the primary areas outlined below:
The Medical Receptionist is responsible for all administration requirements for their assigned Physician. Each Medical Receptionist will rotate through each Physician on a quarterly basis. The responsibilities include working with their assigned Physician on patient management; ensuring messages/instructions are followed through and follow up on all patients of that physician. Each Medical Receptionist will also be back up support for others when necessary. Throughout the day the Medical Receptionist will cycle through various positions as listed below.
The_ **Navigator**_ is responsible to greet and escort patients to the appropriate examination room. The priority of this position is to assist Physicians by ensuring a consistent flow of patients is maintained at all times, as well as recording accurate information and calculations into the EMR system.
The _**Navigator**_assists front desk if needed, by doing the following:
- Ensure Office flow is managed, morning _**Navigator**_ to assist with office start up
- Fax server management
- Administrative duties if office flow is managed
- Assist other team members as requested
- Support Phone hub
The _**Appointment/Telephone Receptionist**_ is responsible to greet patients/visitors on arrival and schedule appointment(s) for patients via telephone or direct patient contact. This includes the responsibility of assessing the urgency of each visit request and booking accordingly.
**Education and Qualifications**:
- Secondary school diploma or equivalency certificate
- Diploma or certificate in a MOA program an asset
- Work experience in a reception or administrative position, preferably in a health care organization
- Understanding of the Ministry of Health and Long-Term Care/Ontario Health an asset but not necessary
- Familiarity with a MAC OS Environment an asset
- Excellent customer service skills
**Roles & Responsibilities**:
**Scheduling/Arrivals**
- Schedule/reschedule appointments for patients via telephone or direct contact
- Ensure patient demographics are current and up to date in EMR system
- Validate health insurance cards
- Register/Roster all new patients
- Contact patients for reminder appointments and confirmations
- Reschedule appointments as requested by Physicians
- Review and maintain Physician’s schedule in EMR
**Communications**
- Responsible for monitoring the cancellation line daily
- Remind patients and/or accept outstanding payments for uninsured services
- Sort & deliver mail
- Scanning, faxing and photocopy as needed to ensure efficient flow of information
- Liaison with pharmacies regarding prescription renewals
- Liaison with specialist offices, diagnostic imaging office etc. for patients’ appointments
**Record Keeping**:
- Enter appointment date(s) and time(s) into EMR system
- Record patient vitals (height, weight, BP) in EMR
- Ensure swabs are matched up with correct requisition
**Skills and Abilities**:
- Ability to assess urgency of concerns
- Courteous, empathetic
- Excellent written and verbal communications skill
- Utilize the appropriate methods and styles of communication
- Meticulous with attention-to-details and accuracy

- Knowledge of uninsured services
- Working knowledge of EMR system (Telus Practice Solutions) an asset
- Ability to work in a team-based setting

Pay: From $19.50 per hour
