**General Overview**:
The Assistant Condominium Manager (ACM) supports the Condominium Manager (CM) in various administrative and operational tasks related to the management of condominium properties. The ACM plays a key role in ensuring smooth day-to-day operations, effective communication, and efficient handling of various tasks within the portfolio. The role requires either possession of a limited license with the Condominium Management Regulatory Authority of Ontario (CMRAO) or the willingness to obtain one.

**Key Responsibilities**:

- **Communication & Correspondence**:

- **Meeting Support**:
When needed, assist with the preparation for Board meetings, Annual General Meetings (AGMs), and other related meetings. Ensure the Condominium Manager (CM) is prepared for these meetings by organizing agendas, collecting necessary documents, and sign-in sheets. Handle follow-up tasks arising from these meetings to ensure action items are completed. Ensure that proxies are properly collected, maintained, and prepared for the meeting in accordance with relevant guidelines and regulations.
- **Work Orders & Purchase Orders**:
When requested, generate purchase orders and work orders for required maintenance or services. Coordinate with trades and suppliers to ensure work is completed efficiently and on time.
- **Condo Manager Software Proficiency**:
Become proficient in the Condo Manager software system used by HighPoint, ensuring accurate data entry and management of property details.
- **Automated Invoice Approval Process**:
Work with the CM, with the automated invoice approval system to ensure smooth and timely processing of invoices. Monitor and track invoices through the approval workflow, ensuring compliance with internal procedures and prompt payment processing.
- **Unit File Maintenance**:
Maintain up-to-date and organized unit files, ensuring all necessary documents are current and accessible.
- **Record Maintenance & Security**:
Ensure all records for each corporation are properly maintained and stored securely, in compliance with the Condominium Act and relevant regulations.
- **Regulatory Compliance**:
Stay updated on the latest regulations under the Condominium Management Services Act, CAO, and CMRAO. Ensure that all notices, information certificates, and related documents are issued timely and accurately.
- **Website Updates & Management**:
Assist in the setup and ongoing maintenance of websites for individual condominiums, ensuring that information is current and accessible for residents.
- **Additional Duties**:
Perform any other tasks assigned by the Condominium Manager or senior management to assist in meeting team and organizational goals.
- **Team Collaboration & Professional Development**:
Work collaboratively with colleagues, fostering a supportive and respectful team environment. Strive to continuously enhance personal knowledge and expertise in condominium management.

**Job Types**: Full-time, Permanent

Pay: $45,000.00-$55,000.00 per year
