TORLYS is looking for an HR Coordinator to join our progressive HR Team.
**Overview**
Under the direct supervision of the Human Resources Director, the HR Coordinator provides a range of HR administration/support services to support effective operation of HR policies and programs. Enters and reports HR data into HRIS and other programs, provides information, responds to requests, and coordinates documentation associated with HR. Maintains databases and electronic/paper filing systems, enters and verifies data, and prepares reports.
**Essential Duties and Responsibilities**:
- **Record/File Administration**: _
- Establishes and maintains records, files, including recruitment files and tests, general files, and other HR related information (attendance records, vacation accruals, timecards, etc.).
- Maintains confidential TeamMate information, records and files.
- Assists in maintaining HRIS database, reviewing and updating on a regular basis to ensure information is up to date.
- Provides administrative support to the Human Resources Team.
- Other duties and projects as assigned by the Human Resources Team.
- Coordinates with Managers and prepares internal announcements regarding New Hires, Promotions, department changes, etc.
- Maintains and orders Office Supplies on a weekly basis.
**_Payroll & Benefit Administration_**
- Assists with Associate enrolment, changes and deletions in the Group Benefit portal.
- Monthly reconciliation / verification / coding, and preparation of journal entries for Group Benefit Premium Invoices
- Completes and files monthly WCB/WSIB remittances
- **Performance Management**: _
- Coordinates activities associated with Performance Management and Probationary Review Forms.
- Monitors and tracks related documentation.
- **Employee Relations**: _
- Assists Associates with routine Human Resources related questions, referring any complex issues to more senior members of the HR Team.
**_Job Descriptions: _**
- Responsible for the consistent and standardized approach to ensuring all job descriptions are current and up to date.
- **Policies & Guidelines**: _
- May respond to routine TeamMate inquiries, escalating more complex issues/concerns to more senior members of the HR Team.
- **Recruitment, Selection and Orientation**: _
- Administers and coordinates interview process with the Hiring Manager.
- Coordinates activities associated with recruitment, selection and orientation as directed by the HR Team such as: resume screening, initial phone screening, scheduling of interviews, job postings, etc.
- Coordinates New Hire Orientations
- **Training & Development**: _
- Maintain and update HR Downloads. Assign courses and monitor compliance.
- Coordinates and schedules both internal and external training (health & safety, leadership, technical, etc.), as per training needs analysis, HR and Health & Safety requirements.
**_TeamMate Social Committees_**
Sits on the TORLYS Social Team and assists in the planning and organizing for events and recreational activities.
**Qualifications**
- Minimum 3 years experience in an administrative function, preferably in HR
- Post Secondary/College Diploma in Business Administration or related discipline preferred
- Enrolled in and working towards your Human Resources Certification
- Recruitment experience required
- Bilingual fluency in French is an asset
- Exceptional organizational and communication skills (both written and verbal)
- Experience with ADP WorkForceNow is an asset.
- A proven systematic and organized approach to multi-tasking
- Ability to work independently or in a team environment
- Shows ability to meet deadlines and prioritize work
- Able to recognize the position as one of highly trusted and confidential nature
- Professional, friendly, exceptional interpersonal skills and a willingness to engage and participate in organizational programs.
