Securities Administrator, Exempt Securities

**Job Summary**
Your primary roles include tracking and monitoring all investment certificates received or sent from the Investment Account Services Division. The Securities Administrator must also maintain certificate accuracy and ensure that all regulatory requirements are being met.
**Duties and Responsibilities**
- Uphold the division and Olympia’s reputation and values, while promoting our motto “With Us, It’s Personal” in all interactions with employees, clients, and business associates.
- Track and monitor all certificates within the Investment Account Services Division
- Research and promptly answers internal and external inquiries regarding securities
- Responsible for tracking and ensuring accuracy for all certificates received or sent out
- Must remain current on all policies and procedures within the securities area and the division
- Handle all documents in accordance with the Olympia Trust Company customer service standards
- Assist with quarterly security audits
- Ensure compliance with internal and external audit and regulatory requirements
- Verify own work for accuracy, clarity and completeness
- Work cooperatively within the team to achieve common goals
- Thorough understanding of the Anti‐Money Laundering (AML) policies and procedures
- Flexible to perform various assigned tasks as requested by management and executives.

**Formal education and experience**
- High school education completion.
- Post-Secondary education is beneficial.
- 1-2 years of administrative experience.
**Specialized skills or knowledge**
- Prior financial services industry and securities experience is beneficial.
- General knowledge of Registered Plans, TFSAs and RESPs is beneficial.
- Intermediate level of Microsoft Outlook, Word and Excel.
- Bilingual in French and English communication both written and spoken is an asset.
- Successful completion of a Criminal Background check is required.
