Reporting directly to the Branch Manager, the Service Coordinator primarily support the service technicians in Ontario. This role will create and dispatch work orders, service calls, assist with quotations, and generate invoices for service and maintenance ProTherm provides to its customers. This position is key to the coordination and facilitation of communication to customers and service technicians.

**Duties and responsibilities may include, but are not limited to the following**:
Service Coordination:

- Oversee and coordinate maintenance and service work schedules to ensure work orders and preventative maintenance work are completed in a timely manner
- Assist technicians with quotes for service, maintenance, and or repair work
- Create and dispatch work orders to technicians in a timely manner
- Answer and dispatch service calls including emergency calls to ensure customer inquiries and systems emergencies are resolved promptly
- Review and verify completed work orders with technicians to ensure information is accurate for invoicing
- Collaborate with technicians, Branch Manager, and or Project Coordinator to effectively resolve invoicing issues
- Maintain and update Jonas System to ensure reports are generated accurately and distributed accordingly
- Develop and maintain good working relationship and effective lines of communication with technicians and customers
Accounts Receivable:

- Prepare and generate customer invoices to ensure payments are received in timely manner.
- Process data entry into Jonas System and ensure customer information and accounts receivable information are updated
- Post electronic fund transfers (EFT) & credit card deposits into Jonas as well as enter credit card payments into Moneris
- Communicate EFT and VISA deposits to the Controller daily
Communication and Teamwork:

- Work closely with Branch Manager and Service Technicians to ensure work orders and preventative maintenance are completed as scheduled
- Provide work orders report to service technicians and Branch Manager to create awareness on outstanding work orders or maintenance jobs
Miscellaneous:

- Generate and provide accounts receivable reports for the accounting and management team as required
- Assist with shipping and receiving as required
**Qualifications & Experience**
- Successful completion of a post-secondary education coupled with 3-5 years’ service coordination experience within a similar industry.
- Advanced knowledge of MS Office Suite, with in-depth knowledge of Excel is essential
- Experience with Jonas System is considered an asset
- Excellent customer service skills with the ability to communicate important information effectively to service technicians, management, and customers.
- Proven ability to coordinate and dispatch service and maintenance work efficiently using available resources
- Strong organizational skills with the ability to prioritize tasks in a fast-paced environment
- Good attention to detail to ensure invoices sent to customers are accurate
- A keen learner and a self-starter with the ability to innovate and suggest process improvements
- Possess a strong work ethic and initiate effective teamwork
- Willing and able to work overtime as required
- Lift up to 30 lbs. unassisted
- Fully vaccinated against the COVID-19 virus
