The Office Administrator ensures office functions are completed efficiently and effectively and all internal and external stakeholder expectations are met. In addition, this position provides administrative support to field employees in Northern Alberta.
The position is based in the Regina Office
**Responsibilities**:
Field Operations
- Collect, track, coordinate and file all registration, training, and apprenticeship records.
- Maintain Apprenticeship Program.
- Book and coordinate in-house training.
- Collect, enter, approve and report site timecards
- Manage driver approval requests and maintain list of eligible drivers.
- Pull drivers abstracts annually.
- Collect annual driver tax forms.
- Manage the contracting “W” drive
- Track field employee’s vacation time.
- Track employee’s education and complete required paperwork.
- Track and manage site listings
- Track internal transfers and complete required paperwork
Health and Safety
- Ensure conformance to health, safety, and environmental standards within the office.
- Maintain office HSE board
- Coordinate and track safety training for all field employees
- Manage database to ensure all training is up to date
- Coordinate with CM, SM and Superintendents in managing the NCSO training program
- Manage the safety “W” drive.
- Monthly data collection and safety document filing
- Manage and order safety resources
- Manage safety award program
- Organize monthly leadership tours
- Create PO’s
Onboarding
- Welcome and assist new office and field employees
- Complete office orientation, office space and technology set up for new office hires.
- Complete first day logistics and provide onboarding information for field employees, distribute new hire paperwork and gather required personal information.
- Send new hire paperwork for field employees to Nasson and where applicable payroll.
- Ensure all site access security and administrative requirements are met for new hires
What We Are Looking For
- Proficiency with Microsoft Office Suite (including, Excel, Word, Outlook) required
- Proven ability to demonstrate high level of confidentiality, including tact and discretion in preparing, disclosing and handling information of a sensitive nature
- Ability to forge, grow and maintain positive relationships both internally and externally
- Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment
- Ability to work within tight deadlines and prioritization of work to achieve them
- Strong analytical, critical thinking, troubleshooting, problem-solving skills, and a high degree of accuracy and attention to detail
- Highly developed interpersonal, communication, and organizational skills
- Ability to work collaboratively with a positive attitude
