Role Summary

As Operations Coordinator you will be responsible for managing training session coordination and pre-program requirements, ensuring a positive client experience, and maintaining long-term client relationships. Additionally, you will assist in accounting responsibilities, such as processing accounts receivable and payable transactions, maintaining and reconciling ledger accounts, and responding to inquiries. You will be proactive in addressing concerns, have excellent communication skills, and be able to enforce internal policies and standards.

**Responsibilities**:
Operations Coordinators responsibilities include:
**Program Coordination & Logistics: (50%)**
- Manage training session coordination and pre-program requirements. Assist clients in the registration process from beginning to end to establish a positive and mutually rewarding client experience with all participants that drives long-term client relationships.
- Process and manage enterprise program logistics, through Salesforce, may include contact records creation to the appropriate event and managing program logistics through its life cycle.
- Complete orders ensuring the proper amount of classroom material sets are sent in a timely manner.
- Confirm arrival of all materials & complete order process for enterprise programs.
- Monitor feedback for programs, being proactive to concerns ensuring a positive experience each time.
- Communicate with Instructors before, during and after each program.
- Produce logistic items as needed.
- Software system for Enterprise Programs: Portal updates and changes.
- Backup public programs payments process for public program registrations and corporate website management.
- Following and enforcing Prosci's internal standards and policies.

**Accounting Assistant (50%)**
- Processes accounts receivable and accounts payable transactions.
- Record and post payments received and make payments for vendor invoices and other debts owed by the organization.
- Verifies amounts owed and received and ensures that transactions are recorded promptly and accurately in accordance with internal accounting policies.
- Maintains and reconciles accounts payable and receivable ledger accounts.
- Prepares reports of delinquent accounts and responds to customer/vendor inquiries.
- Other duties as assigned.
- 1-2 years of career experience in accounts receivable/payable and customer service or support or similar type financial customer facing roles.
- Solid understanding of basic accounting principles, fair credit practices and collection regulations.
- High degree of accuracy and attention to detail.
- Data entry skills along with a knack for numbers.
- Critical thinking skills to troubleshoot logistics challenges and make efficient decisions.
- Strong collaboration skills to work effectively with team members and internal clients.
- Basic knowledge of Salesforce, QuickBooks or other finance ERP systems, and Concur.
- Proficiently utilizes Microsoft Office (Outlook, PowerPoint, Excel, etc.).

Preferred:

- Degree or Certification or Diploma in relative field (Business Administration, Accounting, Finance, or Customer Service/Hospitality an asset)
- Proficiency with financial software
