About Us
Pinecrest Remembrance Services Ltd. has proudly served Ottawa families for generations, offering cemetery and funeral services with professionalism, compassion, and dignity. We are seeking a detail-oriented and customer-focused Administrative Assistant to join our Cemetery Services team. This position provides critical support to our Cemetery Counsellors and Manager of Cemetery and Funeral Services.
Position Details
- Job Type: Full-Time, Permanent
- Schedule: Monday to Friday, 8:30 AM - 5:00 PM
- Location: Fully in-office, free parking on-site
- Salary: $47,000 - $50,000 annually (based on experience)
- Probation: 6-month probationary period
What You’ll Do
The Administrative Assistant will support cemetery operations and sales processes by:
- Assisting Cemetery Counsellors with client files, deed lookups, and documentation.
- Retrieving and preparing historical interment records and deeds.
- Monitoring shared inboxes and responding to general family inquiries.
- Booking staff for inurnments and services, and coordinating with vendors.
- Assisting with Tukios, live streaming, and logístical support for PRS families.
- Taking photographs of completed products and services and confirming completion with clients.
- Supporting the Manager with advertising materials, website updates, price lists, data entry, and staff meeting organization.
- Handling general administrative tasks such as correspondence, document preparation, and file updates.

What We’re Looking For

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with databases (HMIS or similar) is an asset.
- Prior experience in administrative support, office management, or customer service preferred.
