They are looking for a meticulous and dedicated Office Manager to join their team. This key role is essential in ensuring the smooth operation of the office by managing accounts payable, accounts receivable, payroll, and general bookkeeping functions. You'll contribute to various financial projects and initiatives, maintaining a high standard of professionalism and confidentiality.
**Your Exciting Role**:
**Accounts Payable**: Take charge of entering invoices into our ERP system, matching invoices to purchase orders, and issuing payments in the form of wires and cheques. You'll be responsible for supplier reconciliations and setting up new vendors in the ERP system, ensuring accuracy and compliance with company policies.
**Accounts Receivable**: Manage EFT receipts, bank deposits, and collections calls. You'll optimize credit terms, set up and vet new customers, send customer invoices, create credit memos, and complete customer statement reconciliations, ensuring timely and accurate processing of all transactions.
**Payroll**: Handle all payroll duties including issuing ROEs, expenses, and commissions, preparing T4s, entering and reviewing timesheets, and adding new employees to the system. Ensure payroll accuracy and compliance with relevant legislation.
**Bookkeeping**: Maintain accurate financial records, perform monthly reconciliations of bank accounts, and prepare financial reporting packages. Support the preparation of annual budgets, complete monthly adjusting entries, and contribute to year-end reporting for external accountants.
**Office Management**: Oversee general office operations, including maintaining office supplies, organizing the office layout, and ensuring a positive and efficient working environment. Coordinate community/charity events and appreciation events, fostering team collaboration and engagement.
**Executive Support**: Provide administrative support, including managing calendars, scheduling meetings, and arranging travel itineraries. Innovate and enhance efficiency by creating or revising systems for tracking, goal setting, client follow-ups, team meetings, and day-to-day operations.
**You are the perfect fit for this role if YOU have**:
- 5+ years of experience in handling bookkeeping and general office management.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Excellent written and verbal communication skills with strong attention to detail.
- Ability to prioritize tasks, manage time effectively, and meet deadlines.
- Strong interpersonal skills and the ability to work collaboratively in a team environment.
- Discretion and confidentiality in handling sensitive information.
- Adaptability and willingness to learn new skills and take on additional responsibilities as needed.
- Previous experience with ERP and CRM systems.
