The Regional Geriatric Program provides Specialized Geriatric Services within the hospital to improve the overall day to day function and quality of life for frail elders. The program is composed of the Acute Care of the Elderly (ACE) Unit, Elder’s Clinic, Internal Consultation Team and Geriatric Emergency Management. The services are provided by an interdisciplinary team. Reporting directly to the Clinical Leader Manager, the Admin Assistant will be responsible for performing a broad range of administrative, clerical and reception duties in the Regional Geriatric Program. Functioning as an integral part of the health care team and front line worker, you will be accountable for:
**DUTIES**:
- Receiving visitors (patients, guests, etc.) to the clinic in a friendly and welcoming manner and directing them appropriately
- Scheduling outpatient appointments, follow-up appointments as well as patient procedures; using a computerized scheduling system
- Operating multi-line telephones, and responding to inquiries in a friendly timely manner;
- Registering patients and maintaining data bases
- Providing organizational and secretarial support to interdisciplinary team which includes answering the telephone and relaying messages, sorting mail, updating client data, obtaining patient charts, ordering supplies, maintaining files, photocopying, etc.
- Typing and distributing correspondence and reports; maintain monthly clinic schedules; coordinate meetings, including preparing agenda, recording and distributing minutes; produce statistical reports
- Preparing OHIP billing submissions and maintains and prepares non-Physician accounts.
- Completing Payroll and scheduling for clinic staff
- Maintaining clinic stats
- Assembling and preparing charts for each clinic
- Retrieving and filing lab results
- Liaising with various hospital departments such as admitting, labs, purchasing, etc. to exchange information and to resolve issues;
**QUALIFICATIONS**:
- Graduate of a recognized secretarial program and/or equivalent experience
- Must have medical terminology certificate
- Minimum of 2 years progressive experience preferably in a hospital setting.
- Well developed organizational skills with the ability to work in a fast-paced environment and prioritize tasks appropriately.
- Excellent customer service record with proved success working as part of a team.
- Excellent organizational, interpersonal, communication (verbal/written) and problem-solving skills.
- Must be able to work independently and prioritize workload in a fast paced environment.
- Must be able to work cooperatively in a team environment.
- Demonstrated commitment to and understanding of the mission and values of St. Michael's Hospital.
- Must have an excellent attendance record.
