**Job Type: contract
- 4 months (possible extension to permanent/full-time)**

The British Columbia Coast Pilots Ltd. works with the marine industry to deliver safe and efficient pilotage by providing local knowledge and expertise to foreign ships in order to protect environmental, economic and public interests. We provide expertise in the safe movement of shipping through local knowledge by ensuring excellence in pilotage that enhances trade and protects Canadian environmental, public, and economic interests.  

**Position Summary**

The Scheduling Coordinator will provide administrative and coordination support to the pilots, the general manager, the Directors and various Committees with pilot’s schedules and training requirements to ensure all changes have been documented and reports are up to date. The scheduling coordinator works closely under the guidance of the Controller to participate in the successful maintenance of various individual employee records, including time off, sick leave and banked days in excel.

**Duties**
- Maintaining working relationship with pilots
- Work with the Finance team on any reporting needs.
- Assist billing with reconciliations using excel
- Organize and arrange training times for new hires
- Tracking and communicating available pilots or scheduling concerns with the appropriate parties
- Maintain information on current and former pilot skills, abilities, certification, and experience, ensuring pilot records are kept up to date
- Coordinating the approval of vacation requests and leave of absences
- Assist with scheduling regular out of town work
- Prepare various reports for management & pilots
- Prepare and provide various documentation to the Pacific Pilotage Authority
- Ad-hoc duties as requested

**Experience and Qualifications**
- Strong organizational skills, ability to prioritize and multi-task
- Excellent excel and Office 365 skills
- Strong attention to detail and high level of accuracy
- Strong reasoning and analytical skills with critical thinking capacity to recognize job needs
- Ability to work under pressure with deadlines and changing priorities
- Minimum of 2 years scheduling experience
- Admin and coordination experience
- Excellent verbal and written communication skills
- Ability to handle stressful situations and remain calm in the event of emergency

**Reporting**

Reports to the Controller

**Communication**

Regular communication with Controller, Pilots, Directors and Pacific Pilotage Authority

**Schedule**:
7.5 hours per day (8 to 4:30 with 1 hour break)

**Job Types**: Fixed term contract, Permanent, Full-time
