Project Coordinator

The primary responsibility for the Project Delivery Coordinator is to support the VP of Delivery in the successful execution and delivery of work according to the contractual timelines, budgets and quality specifications for all data, privacy, and governance projects globally. Working in conjunction with the Practice Directors of each discipline, you will drive consultant utilization, oversee resource and revenue forecasting, develop and produce management information related to the status of each project, and ensure the successful execution of projects and solutions delivered by multidiscipline teams.

A significant portion of the role will be the continued development, oversight, and administration of Calligo’s PSA platform (MS Dynamic Project Operations) to ensure projects are managed and delivered in accordance with the standards expected within Calligo. This will require you to be fully engaged with project leads, keeping on top of timesheet submissions and engaging with key stakeholders frequently to manage and mitigate risk and to provide relevant and up to date information to facilitate informed decision making.

Key Responsibilities*
- Maintain, administer and continually develop Calligo’s PSA platform to increase visibility across all teams, deliver project insights and manage resources.
- Provide administrative support to the VP of Delivery and Project Managers.
- Monitor project progress and create project status reports for project managers and stakeholders.
- Assist with resource scheduling and forecasting to ensure the appropriate resources are assigned to the relevant projects/tasks, taking care to ensure margins are maintained
- Scheduling stakeholder meetings and facilitating communication between the project manager and stakeholders throughout the project life cycle.
- Document meeting minutes, risks/issues, actions and owners in keeping with internal compliance standards and industry best practice.
- Manage changes to the project scope, project schedule and project costs using appropriate verification techniques
- Create and maintain comprehensive project documentation in adherence with establish ISO procedures.
- Executing a variety of project management administrative tasks as required

**Skills Knowledge and Expertise**
- 2+ years in a project delivery role within a professional services/IT consultancy/PMO
- Bachelor’s degree in business administration, management or a related field, or demonstrable experience within a professional services/IT consultancy/PMO
- Project management certifications: Certified Associate in Project Management (CAPM), project management professional (PMP) or similar
- Previous experience using/administering Professional Services Automation platforms such as Microsoft Dynamics Project Operations, Financial Force, Workday, NetSuite or similar
- Excellent written and verbal communication skills
- Strong organizational skills and a meticulous attentiveness to critical details
- Experience using Microsoft Office (Outlook, Teams, Word, PowerPoint, Excel) is essential to enable daily task execution, collaboration, and communication
- Knowledge of additional PM tools: Microsoft Project Online and Power BI extremely advantageous
