Front Desk Receptionist

Working closely with the Operations Manager and other staff members, the Front Desk Receptionist will ensure that the society's day-to-day programs are running smoothly and provide a positive 'face' to the organization by being the first point of contact for clients, stakeholders, and community members visiting or contacting VBIS. Professional development funding and on-the-job training will be provided.
**Responsibilities**:
- Complete daily reminder calls for appointments and program lists
- Maintain attendance records for programs
- Oversee and update program and room-bookings calendars for use by staff, volunteers, and clients
- Provide security for the office by ensuring proper sign-in procedures with clients and visitors.
- Maintain confidentiality of all systems & correspondence related to the organization
- Ensure the office and facility supplies are in stock; order more as necessary
- Coordinate with Bookkeeper and Operations Manager to ensure invoices and receipts are paid, filed, and logged
- Manage Petty Cash transactions & donations, ensuring that proper records are kept and filed each month, and that excess donations are prepared for deposit.
- Assist with end of month bookkeeping
- Maintain general tidiness of the office’s public & storage spaces.
- Manage all aspects of the Bus Pass program, including placing orders, taking payment, etc.
- Manage all aspects of Service ID card program, including creating & printing cards, troubleshooting printer issues, ordering supplies etc.
- Ensure weekly newsletter goes out on-schedule, and liaise with volunteers and staff for content creation
- Coordinate with the Operations Manager to ensure continuous staff/volunteer coverage of the Reception Area and Front Desk
- Provide administrative support to VBIS Staff
- Assist staff and volunteers in planning workshops and events
- Participate fully in team meetings, staff development, and other society activities
- Utilize the assistance of volunteers whenever possible
- Other duties as assigned
**Requirements**:
- Superb organization skills
- Above average interpersonal, oral, and written communication skills
- Ability to prioritize work, manage administrative workload, and schedule tasks effectively
- Ability to work independently and in a team
- Creative and proactive attitude towards solving problems and improving systems where needed
- Awareness of and sensitivity to cultural, ethnic, and economic diversity
- Empathetic, and ability to foster a safe and supportive environment for clients
Hours of Employment: 28 hours per week, Monday - Thursday from 9:00 am - 4:00 pm. This is not a hybrid position, and the incumbent will work in the office.
Compensation: $24.29. Commensurate with experience.
Start Date: ASAP.
