As the largest provider of Emergency Shelter in the Niagara Region, the YWCA Niagara Region offers innovative housing programs and services that provide hope for women and their families living in poverty.

Position Summary The Finance and Administrative Assistant is responsible for supporting finance and administrative needs across the YWCA Niagara Region programs, including the administrative department, finance department and program departments under direct supervision of the Director of Finance

**Responsibilities**

**Finance**
- Receive and distribute vendor invoices
- Input expenses (including vendor invoices, utility bills, credit card expenses, and cheque requisitions) into QuickBooks
- Pay utility bills
- Reconcile credit card
- Prepare monthly income report
- Process, mail and track distribution of cheques
- Maintain filing system for accounts payable
- Process incoming payments and donations
- Complete bank deposits
- Prepare monthly invoices and annual rent receipts
- Support preparations for annual audit
- Finance tasks as needed as set out by Director of Finance

**Administration**
- Provide support on the maintenance of the organizations central file system
- Open and direct all incoming mail/correspondence and distribute to staff and client files
- Update staff directories and staff extension list
- Bi-Weekly uploading of employee time sheet template onto staff portal
- Receive booking requests for Oakdale meeting space
- Assist with planning and implementation of Annual General Meeting
- Scheduling/Coordinating meetings

**Qualifications**:

- Completion of High school
- 2-5 years’ experience in general administration and accounting preferred
- Knowledge of Quick Books Accounting Program an asset, but willing to train
- Demonstrated knowledge of the following issues: Homelessness, Woman Abuse, Addictions, and Mental Health Issues
- Excellent oral and written communication skills
- Confident decision maker and problem solver with critical thinking skills
- Strong conflict resolution skills
- Ability to multitask and work in a fast paced, changing environment
- Demonstrated ability to work independently as well as with a team
