Reporting to the Manager, Group Operations, this position performs a wide variety of administrative support services, ranging from complex to routine, all of which contribute to the efficient and professional operation of the group team. It is expected that you have a genuine appreciation for and understanding of protocol, discretion, confidentiality and professionalism. You must demonstrate initiative and be able to accept and assume responsibility and have the ability to interpret and make decisions in accordance with prescribed company procedures and practices.
- Provide administrative and project support for the Group Division
- Compile information, documentation and reconciliation of expense reports
- Assist to create presentation material for the team
- Monitor and respond to shared mailboxes
- Create and maintain various spreadsheets required for monthly tracking and reporting
- File, organize, archive digital (and physical) documentation in accordance to regulatory requirements
- Monitor and review internal system databases to ensure information remains current and accurate
- Support onboarding and offboarding processes for new hires
- Provide support to the team by arranging monthly meetings, creating and circulating agendas, attending meetings, recording and circulating meeting minutes and following up on outstanding items as needed
- Support Business Development Advisors in their efforts to grow and maintain Broker relationships by assisting with administrative responsibilities of Broker files
- Maintain up to date Group Insurance contracts in accordance with regulatory compliance
- Manage Broker requests and approvals for marketing materials ensuring timely deliveries
- Maintain workload within established guidelines and service standards
- Additional administrative and coordination duties as required to support the Group Division
**What do you bring to the role?**
- College diploma in a related administrative field
- Underwriting experience an asset
- Knowledge of broker code management and broker hierarchy
- Some exposure to support functions in a contact centre would be an asset but not required
- Strong keyboarding and computer skills
- Advanced skills in MS Word, Excel, Power Point and SharePoint
- You’re professional, friendly and courteous in all interactions, whether with customers, brokers or co-workers
- You perform well in a busy operation and remain calm under pressure
- You’re self-directed
- You’re a team player adaptable to a changing environment
- You have strong written and verbal communication skills
- You have excellent time management and organizational skills
Salary Range: $43,700 - $80,500
