**Overview**
Navitas Vehicle Systems is seeking a detail-oriented and dependable **Administrative Assistant** with a strong background in **finance administration**, specifically in **Accounts Receivable (AR)** and **Accounts Payable (AP).** In this role, you will support the finance team managing day-to-day administrative tasks, ensuring timely and accurate processing of financial transactions, and contributing to the overall efficiency of the business.

**Responsibilities**

1. Office support
- Front reception support (for guests)
- Support for telephone system, reception
- Support for CFO and Business Operations Manager
- Responsible for in-coming and out-going mail
- Manage office supplies
- Filing

2. Finance-Accounts payable
- Create and Update Vendor master files in syteline
- Manage and process vendor invoices and other expenses (Non Purchase order bills)with required approvals into syteline for future payment selection (broker invoices, logistics billings, Utility bills, expense reports)
- Process approved invoices in various companies

3. Issue payments to vendors(cheques and wires)
- Wire transfers for vendors
- Create wires as needed
- Create EFT payments as needed
- Respond to vendor inquiries on payments
- Filing of all AP invoices and paid vouchers

4. Finance-Account Receivable
- Create and Update Customer master files in syteline
- Process customer shipments and create invoices
- Process Navitas (Moneris) credit cards -payments
- Create and send invoices to customers and follow-up in a professional manner
- On-top of open AR invoices by company for customers to support credit policy
- Filing of all AR documents-electronically and filed copies
- Respond to inquiries from customers

5. Finance General
- Support controller/CFO for cash management
- Competent with Cash management software from TD-support

**Requirements**:

- Min 5 years experience as an Administrative Assistant or in a similar role.
- Competent with word, excel
- Knowledge of basic accounting principles
- Strong understanding and experience with AR / AP / Journals / GL
- Excellent recordkeeping/filing skills
- Proficient in SyteLine and QuickBooks
- Strong organizational skills with the ability to multitask effectively.
- Excellent proofreading skills with strong attention to detail.
- Exceptional customer support abilities and interpersonal skills.
- Ability to work independently as well as part of a team.
- High school diploma or equivalent; additional qualifications in administration or related fields are a plus.
- Strong english skills

**Job Types**: Full-time, Permanent

Pay: $50,000.00-$65,000.00 per year
