Part Time Administrator

**Responsibilities**:
- Keyholder, opening of center as per Paycor scheduling app
- Day to day maintenance and management of the staff schedule
- Answering phones, delivering messages to appropriate personnel
- Notifying clients of changes to schedules, staff teams etc. at the discretion of the Director team
- Processing weekly invoices; Taking credit card payments by phone and entering into the payment system
- Keep daily deposit documents up to date with all client payments
- Update documentation with daily cancellations
- Monthly schedule tracking document
- create each month
- Check the mail
- Occasional website management
- Occasional social media management
- Input new employee and client information into appropriate files on Google Drive, follow up with staff and families for any missing information required
- Contracts for hourly employees
- update and create for new hires
- Preliminary steps of the intake process by taking calls from prospective clients and giving them a basic overview of Village services, pass on message to appropriate Director for follow up
- Letters of employment for employees
- at the discretion of the Director Team
- Filing as needed
- Other duties at the discretion of the Director Team
**Qualifications**:
- Must be available to work Monday through Friday from 3:00pm
- 6:00pm on site
- Proven experience as an Office Administrator, Administrative Assistant, or in a similar role
- Direct experience working with children or working in a setting with children
- Proficiency in Microsoft Office and Google Suites (Word, Excel, PowerPoint, Outlook, Google Docs,Google Sheets).
- Excellent organizational and multitasking abilities
- Strong written and verbal communication skills
- must be able to make connections with clients and their families
- Attention to detail and problem-solving skills
- Ability to work independently and collaboratively in a team environment
- Knowledge of basic accounting principles is a plus
**Education**:
- A high school and college or university diploma is required
- Additional education or certification in office administration or a related field is an asset
**Job Type**: Part-time
**Salary**: $16.55-$20.00 per hour
Expected hours: 15 per week
