**Summary**:
**Key Responsibilities**:
**Payroll**:
- Oversee and validate outsourced payroll processes for Canada and US (ADP & CoAdvantage)
- Process US Certified Payroll on a weekly basis
- Act as a primary contact and respond to enquiries from internal and external sources regarding Canada and US payroll
- Oversee expense administration using Concur platform & prepare reports on expense usage
- Oversee Time & Attendance administration
- Ensure all wages are paid accurately and in a timely fashion in accordance with corporate policies and all applicable legislation
- Prepare records of employment as applicable
- Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements
- Administer wage garnishment requests and submit government remittances (WSIB, EHT, etc.)
- Submit employee contributions to the RRSP/401(k) plan
- Prepare CRA Remittance Reconciliation
- Assure the accuracy of the vacation accrual balance showing in the payroll system
- Maintain and ensure the proper GL allocation of payroll expenses to each department and reconciliations
- Prepare year-end reconciliations and filings of tax slips and all government forms
- Ensure payment of commissions, manage benefits, garnishments, taxes, and other deductions
- Prepare reports and forecasts for senior management, and custom reports for HR and Finance
- Participate in software change discussions and implementation team
- Conduct regular audits on payroll procedures and records
- Design, document and implement procedures to streamline payroll processes
- Submit hours worked for agency temps
- Maintain confidential information by adhering to legal and ethical standards
- Offer support on escalated matters and resolve errors and issues
**Group Benefits and Retirement Programs**:
- Administer employee group benefits for Canada and the US, including: Medical, Dental, Vision, Life Insurance, Disability, LTD., RRSP, 401(k) etc.
- Administer STD and LTD disability management benefits and manage the adjudication process
- Act as a primary contact and respond to enquiries from internal and external sources regarding group benefits, retirement plans and disability claims
- Manage leave of absence requests and communication
- Support coordination of all benefits related internal initiatives or projects
- Coordinate Benefit/RRSP/401k employee sessions
- Audit and reconcile benefit billing
- Prepare employee benefit communication
- Participate in the US open enrollment process
- Prepare reports and forecasts for senior management and custom reports as required
**HR Support**:
- Assist in the administration of the onboarding portal within ADP Workforce Now and US employees
- Coordinate special functions i.e.: Service Awards, Retirement
- Plan and coordinate different employee benefit programs and functions such as service anniversaries, retirement and annual award celebrations
- Participate in different initiatives and special projects related to payroll and/or HR
- Prepare reports on HR analytics - e.g. turnover, disability costs, engagement surveys
- Prepare communication for payroll and benefit programs
- Prepare HR documents e.g. letters of employment
- Track apprenticeship participants and government grants
- Update employee files as needed
- All other tasks as required
**Requirements and Skills**:
- Minimum 5 years of experience in Payroll & Benefits Administration
- Completion of the Payroll Compliance Practitioner (PCP) certification with the Canadian Payroll Association is an asset
- Previous payroll implementation experience is preferred
- Experience working with ADP Workforce Now strongly preferred
- Experience with US & Canadian payroll and group benefits
- Proficient with MS Office: Excel (advanced), Word and MS Outlook
- Basic accounting knowledge is a plus
- Experience in a fast-paced, high change environment
- Ability to problem solve and work efficiently under deadlines
- Strong attention to detail, organizational and multi-tasking skills
- Demonstrate excellent communication (written and verbal), interpersonal and client service skills
- Highly organized with effective time management skills
- Ability to deal with confidential information with high degree of professionalism
- Ability to effectively work in a team environment
