The Rural Municipalities of Alberta (RMA) represents Alberta’s 69 counties and municipal districts as an independent association. Since 1909, the association has helped rural municipalities achieve strong, effective, local government. The RMA provides advocacy, insurance, and business services, including cooperative procurement through the Canoe Procurement Group of Canada.

The RMA is seeking an Executive Administrative Coordinator.

**JOB DESCRIPTION**

The Executive Administration Coordinator provides comprehensive administrative support to the Board of Directors and the Policy and Advocacy department for the Rural Municipalities of Alberta. As a result of carrying out the roles and responsibilities noted below, this position will have access to highly confidential member and association information. It is expected and required that this information be held in the strictest of confidence. In all cases, this position is expected to work in a team environment.

**This is a full-time, permanent position.** The position will be working directly from the RMA offices in Nisku, AB.

**RESPONSIBILITIES**

This position provides leadership and acts as a resource to other administrative support staff on form, accuracy and content of correspondence and meeting minutes. The position provides administrative support to the Policy and Advocacy department as required.

**Administrative Support** - Arrange and coordinate meetings including board meetings, committee meetings, conferences, retreats and events, which includes preparing agendas, coordinating logistics, and ensuring all necessary materials are available. Managing and facilitating correspondence. Attending meetings as required, take minutes, and follow up on action items. The position provides functional direction and guidance to other administrative support staff on any items related to the members of the board, in accordance with established standards.

**Travel and Scheduling** - Coordinate travel arrangements, including booking flights, accommodations, transportation and itineraries. Coordinates activities related to the board’s schedule; screen meeting requests, redirects requests where appropriate; and prioritizes meetings.

**Budget and Expenses** - This position reconciles Board expense claims and ensures governing financial policies and procedures are adhered to. Monitors and process payments related to training and development for the Executive, board and/or advocacy department. Handles invoice coding and processing. Assists in monitoring contract expenditures to ensure they are within the scope of the contract and in accordance with financial policies and procedures.

**Records Management** - Assists with the coordination, storage and archive of files and records.

**Other** - Deals with inquiries from officials of government departments and other agencies, and the general public. Facilitates media inquiries on behalf of the board and Executive. At the request of the Manager of Administration, participates in special projects i.e. assists with the organization of other meetings, conventions, conferences or social events. Fosters positive relationships by interacting with staff, board, external stakeholders and various levels of government. Handling FOIP inquires and responses on behalf of the organization.

**QUALIFICATIONS**
- Completed post-secondary education in a related field (i.e. Business Administration Studies).
- 5 years minimum of demonstrated experience supporting a senior level executive or government official.
- Intermediate to advanced PC proficiency in a Windows environment (Outlook, Word, Excel, PowerPoint).
- Exceptional organization and time management skills are essential.
- Exceptional attitude and positive outlook.
- Considerable working knowledge of governmental systems and processes as well as a thorough understanding of federal and provincial political sensitivities.
- Considerable working knowledge of Roberts Rules of Order.
- Excellent knowledge of legislation governing Freedom of Information and Privacy (FOIP).
- Event planning experience.
- Valid driver’s license for business purposes.
- Professionalism in dealing with confidential and sensitive information.
- Excellent written and oral communication skills
- Be fluent in English.
