**What We Are Seeking**

As the Administration Assistant, you will become part of the Zeidler national administration team and play a key role in supporting our Vancouver and Victoria studios. The role requires you to work from our Vancouver studio in a collaborative and fast-paced environment. Key responsibilities include:
Office Administration
- Provide general administrative support to the Vancouver and Victoria office
- Aid in arranging client meetings, office events, meetings and lunch and learns
- In conjunction with the Office Manager, liaise with contractors for building maintenance issues and office coordination
- Provide support to the Director of Human Resources, including but not limited to, new hire onboarding and updating seating charts
- Support national and local projects as required
- Act as a brand ambassador by handling inbound calls and greeting clients in a professional and timely manner, offering refreshments and seating them in the assigned meeting rooms
- Maintain cleanliness and organization of boardrooms and communal areas throughout the day
- Liaise with the Office Manager, for stationary orders and kitchen supplies
- Become an active member of the Social Committee
- Promote health and safety within the office

Project Administration
- Provide administrative support to project and architectural teams, including scheduling internal and client-facing meetings, site visits etc., and typing of meeting minutes.
- Compile and assist with document production for various project-related documents throughout the construction phases
- Inputting of project information into databases/ CRM and compiling project setup processes.
- Maintaining project-specific filing systems.

**What You Will Bring**
- Minimum of 3+ years of experience as an Administrative Assistant in a professional environment.
- Experience in architectural, construction, engineering or design-related industries would be considered an asset.
- Intermediate Microsoft Office skills, with the ability to become familiar with firm-specific programs and software.
- Ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Excels in a collaborative team environment.
- Exceptional interpersonal skills.
- Friendly and professional demeanor.
- Willingness to work from the Vancouver Studio from 8:30AM - 5:30PM PST Monday - Friday
