**THE OPPORTUNITY (IS HUGE)**

At GroupStrength Benefits Direct, a proud partner of GroupHEALTH, we're looking for an enthusiastic and detail-oriented Office Coordinator to join our in-office team in Winnipeg, MB.

In this role, you'll play a key part in creating a positive, efficient workplace by keeping things organized and running smoothly behind the scenes. Whether it’s supporting your teammates or managing day-to-day administrative tasks, your strong multitasking skills ensure everything gets done accurately and on time.

**YOUR ROLE**
- In your first 30 days_- Learn and take ownership of lead assignment, including sending calendar invites and keeping CRM data up to date
- Become proficient in general reception and admin duties, including call stat reporting, and managing front desk operations
- Gain a solid understanding of internal systems and procedures related to onboarding, IT coordination, and office supply management
- In your first 60 days_- Effectively manage the Analyst Inbox, ensuring timely and accurate distribution of prospect information
- Handle new hire setup from start to finish, including workstation prep and access setup, and basic IT support
- Take ownership of office supply and facility needs, maintaining a clean, well-stocked, and organized workspace

**YOUR IMPACT**

**Lead Management**- Assign NBD and BDR leads based on location, time zone, availability, and management’s criteria
- Review and clean up CRM data: remove duplicates, verify fields, and ensure accuracy
- Schedule appointments and send meeting invitations to prospects on behalf of advisors
- Liaise with GroupHEALTH’s NBD Operations team for lead-related clarifications

**Analyst Inbox Management**- Organize and file prospect information submitted by advisors and ensure it’s assigned to the appropriate analyst
- Accurately update the CRM with relevant details based on the provided data
- Create and maintain folders for the information received from prospective clients

**Facilities & Office Supply Management**- Maintain stock levels of stationery and other supplies throughout the office, and place replenishment orders as needed
- Unpack and put away supply orders, ensuring storage areas remain neat and organized
- Help keep a clean and tidy, including dishwasher duty and handling garbage/recycling
- Be the backup contact for facilities issues (property managers, cleaners, alarms)

**Reception & General Admin**- Coordinate courier shipments and receive deliveries
- Handle mail and distribute as needed
- Answer phones, greet guests, and manage front desk duties
- Other administrative tasks including but not limited to:

- Generating and sending call stat reports
- Sending client survey responses to staff
- Updating CRM data fields
- Assisting with event coordination

**IT Coordination**- Troubleshoot basic IT issues and submit Helpdesk tickets when further assistance is required
- Maintain phone system settings and coordinate with service provider

**Onboarding & Offboarding**- Set up workstations for new employees and assist with logins and app access
- Provide orientation tours for new staff on day one
- Manage building access card activations and alarm system permissions as needed

**Other Duties as Assigned**- Take on additional responsibilities as needed to support the team and office operations as the company and department continue to grow

**THIS IS YOU**- 1+ years' experience working in an office setting with similar responsibilities (considered an asset).
- Intermediate experience and knowledge of MS Office (Word, Excel, PowerPoint and Outlook).
- Highly detail-focused, able to juggle multiple responsibilities effectively
- Clear and professional in both written and verbal communication
- Approachable and dependable, with a service-oriented mindset
- Comfortable navigating change and shifting priorities

**YOUR COMPENSATION**

At the time of this posting, the estimated pay range for this position is $40,000-$45,000. Individual compensation within this range is determined by factors such as job-related skills, relevant experience, and education/training. This range reflects the base pay and does not encompass our comprehensive total rewards, benefits, and potential bonuses that we proudly offer.
