**Job Summary**:
The Office Administrator will play a key role in supporting our team and ensuring the smooth operation of our office. You’ll manage a variety of tasks, including financial reporting, payroll processing, inventory tracking, and more. Whether you’re stepping up to lead a project or providing support to your colleagues, your positive attitude and willingness to help will make you an essential part of our team.
**Key Responsibilities**:
**Financial Processing**:
- Process journal entries to ensure business transactions are accurately recorded.
- Assist in preparing financial statements and reconciling budgets.
**Payroll & Taxation**:
- Take charge of payroll preparation and transmission, including entering timesheets, circulating overtime reports, tracking employee time off, and ensuring accurate commissions.
- Support the preparation and remittance of corporate taxes, HST, WSIB, and EHT, including participation in year-end documentation.
**Spreadsheet & Reporting**:
- Prepare and manage spreadsheets to track costing, financial performance, and account reconciliations.
- Help compile monthly operational reports and Key Performance Indicators (KPIs) for executive review.
- Collaborate on the preparation of Project Profit Reports.
**Invoicing & Payables**:
- Review daily invoicing for accuracy and timeliness, ensuring all processes comply with company standards.
- Oversee payables, verifying revenue, expenses, and purchase approvals.
**ISO & Documentation**:
- Update and track ISO processes and documentation, ensuring all records are accurate and up to date.
- Contribute to the development and maintenance of internal policies and procedures.
**Recruitment Support**:
- Provide administrative support for the recruitment and selection process, helping to build a strong team.
**Inventory & Accounting Support**:
- Assist in quarterly and annual inventory reconciliations.
- Support Accounts Payable and Accounts Receivable processes.
**General Administrative Support**:
- Step in to provide backup for the Accounting Clerk and Billing Coordinator when needed.
- Be the go-to person for answering phone calls and directing customer inquiries promptly and professionally.
**What We’re Looking For**:
- A positive, can-do attitude and a genuine desire to support and help others.
- Previous administrative or office experience, ideally in a financial or accounting setting.
- Strong attention to detail and an ability to juggle multiple tasks with accuracy.
- Experience with payroll processing, corporate tax remittance, and financial reporting is a plus.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook), with advanced Excel skills being an asset.
- Comfortable stepping up to lead projects or tasks, as well as supporting your team.
- Excellent organizational, communication, and time management skills.
- Ability to work independently, as well as collaborate in a team environment.
