Corporate Events Coordinator

**The team**:
As Corporate Events Coordinator, your primary focus will be the management and delivery of flawless corporate visits to our guests at our Montreal headquarters. Reporting to the Corporate Events and Experience Manager, you are well organized, detail oriented, and are comfortable working in a dynamic and fast-paced environment. Additionally, you will be responsible for providing administrative support and have ownership of certain tasks related to our global corporate events program. The Corporate Events Team is comprised of driven event professionals who are excited to grow the department, and will provide you with professional guidance, ensuring you succeed in your role.
**What your day will look like**:
- Assist with the management of the Genetec HQ (headquarters) visits program, which includes:
- Managing corporate visit booking requests primarily from our Sales & Marketing teams, as well as other Genetec departments
- Coordinating internal logistics including the meeting agenda, room space and resource booking, stakeholder communications, catering from both our internal bistro and/or external vendors
- Ensuring all meeting rooms and venues are set-up according to set standards
- Overseeing corporate gifting and giveaway items for visitors
- Leading tours of the Genetec HQ offices and Montreal Experience Center
- Tracking expenses which can include catering, transportation, supplies, inventory, etc.
- Managing and tracking HQ visit ROI with regular reporting to leadership
- Participating in the continuous improvement and evolution of the visits program by assisting with the development of processes and sharing best practices with other regional Genetec Experience Centers (Paris, London, Singapore, Washington D.C, Dubai)
- Supporting the events team with the management and coordination of global corporate trade shows and events and with assistance to local/regional marketing resources by:
- Communicating with vendors, coordinating payments, and tracking expenses
- Communicating with clients to provide information, answering questions, resolving issues
- Overseeing logistics with support from the events and regional marketing teams, as appropriate
- Providing on-site event support
- Work alongside other Marketing groups including Digital, CRM, and data teams to connect and consolidate event metrics by:
- Assisting with the development of reporting dashboards for various stakeholders
- Managing event leads process and data quality in our Marketing Automation tool and the CRM
- Supporting the Marketing and Communications team as needed
**About you**:
- Excellent written and verbal communication skills in English (French and other languages are an asset)
- Excellent customer service and presentation skills
- Strong attention to detail and time management skills
- Ability to manage multiple concurrent projects and deadlines
- Superior problem-solving and ability to think and act quickly under unexpected circumstances
- Strong interpersonal skills and ability to work well with cross-functional groups and stakeholders
- Strong research skills (both off and online)
- Proficient with the Microsoft Office Suite, specifically Microsoft Excel
- Budget, ERP, and purchasing experience is an asset
- Ability to work flexible hours in person at Genetec headquarters (hybrid work environment)
- Enthusiastic approach to all tasks, big and small with a willingness to learn
