Client Care Representative

**JOB SUMMARY**
The Client Care Representative will assist with client calls, provide updates, and support client-facing teams. They will report to the Director of Business Development and help improve the client experience.
**GENERAL RESPONSIBILITIES**
- Assist with taking client calls, understanding the needs of the client, gathering necessary information, and providing the client with respective updates.
- Function as a point of contact for existing clients, developing and maintaining strong relationships, and ensuring a white glove experience.
- Support client-facing teams with overflow of client inquiries, as required.
- Understand the needs of the client and engage appropriate team members and/or Exempt Market Dealer(s), as required.
- Assist with the management of multiple inboxes, respond to inquiries, and/or send to the appropriate team members, as required.
- Ensure knowledge of projects to assist with client inquiries.
- Educate new clients on our group of companies, as required.
- Capture the full scope of client communications by the group of companies. E.g., marketing, project updates.
- Assist with proactive follow-ups to clients after webinars, events, etc., as required.
- Assist and support in the development and execution of programs to improve the client experience.
- Proactively reach out to existing clients for regular touchpoint/service calls to increase client touchpoints and enhance loyalty, as able.
- Support initiatives developed to create efficiencies across various departments to improve client experience, service levels, and efforts towards cost savings.
- Support the implementation and ongoing usage of internal platforms, e.g., CRM.
- Support the planning and execution of webinars or attendance in industry events.
- Update client information, as required, to ensure the database is current.
- Identify areas for improved efficiencies, client experience, inter-office communications, and provide recommendations.
- Provide backup reception support for the main receptionist during sick/vacation days, or as required.
- Other duties as required.
**QUALIFICATIONS AND REQUIREMENTS**
- Strong verbal and written communication to engage effectively with clients and team members.
- Proven ability to build and maintain positive client relationships and deliver exceptional service.
- Ability to manage multiple tasks, inboxes, and client inquiries simultaneously while maintaining attention to detail.
- Demonstrated ability to anticipate client needs, follow up proactively, and escalate issues when necessary.
- Familiarity with CRM systems and internal platforms to manage client data and communications effectively.
- Ability to collaborate with various departments to support client-facing teams and improve client experiences.
- Previous experience in a client care or customer service role.
- Comfortable in a fast-paced environment, handling shifting priorities and providing backup support as needed.
