**Clerical Assistant, Pharmacy and Nutrition**:
**Summary**:The clerical assistant provides administrative support to the Medication Assessment Centre (MAC) and the USask Chronic Pain Clinic (UCPC), contributing to streamlined operations and enhanced patient experience. Key responsibilities include scheduling patient appointments, assisting with intake documentation, and maintaining accurate electronic medical records. This position provides administrative support related to group sessions, educational events, and student placements, while also handling point-of-sale transactions. In addition to performing general office duties, the clerical assistant plays a key role in coordinating interprofessional schedules and supporting a high volume of patient correspondence.

**Duties and Responsibilities**:

- Provides effective and professional reception and customer service for patients, visitors, and clinic staff
- Schedules and coordinates new and follow-up patient appointments in collaboration with the clinical team
- Assists patients in completing clinic intake documentation and ensures accurate data entry into electronic medical records (EMR)
- Updates and maintains patient records within the EMR system, ensuring accuracy and confidentiality
- Provides administrative support to patient group sessions such as scheduling and preparation of materials
- Responds to patient inquiries regarding center and clinic services through various communication channels
- Assists in planning workflow processes to effectively manage peak periods and unanticipated situations
- Registers participants and updates attendance records for education series presentations
- Performs administrative tasks such as faxing, printing, and patient communications as directed by the clinical team
- Coordinates scheduling for interprofessional group sessions, ensuring alignment with provider availability
- Processes point-of-sale payments in person and via telephone, adhering to financial procedures
- Coordinates and schedules multiple students for elective assignments within the centre and clinic
- Processes onboarding and offboarding requests as directed by unit leaders
- Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment
- Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion
- Demonstrates respect and dignity for all members of the community, actively contributes to an environment of acceptance and inclusion of others and responds to different perspectives from a place of curiosity, respect, and non-judgment
- Undertakes related duties, as assigned, consistent with the nature of the position

**Qualifications**:

- A Medical Administrative Assistant diploma from a recognized post-secondary institution
- Minimum of two years’ experience in a medical administrative support role
- Experience working with electronic medical record (EMR) systems
- Experience working in a university setting supporting administrative processes is considered an asset
- Strong organizational and time management skills with the ability to prioritize tasks effectively
- Exceptional interpersonal and communication skills
- Ability to work independently while maintaining strong collaboration within a team environment
- Effective problem-solving skills and adaptability during peak periods or unforeseen challenges
- Proactive approach to improving workflow and supporting overall clinic operations
- Knowledge of privacy and confidentiality practices within healthcare settings is an asset. Knowledge of university procedures and administrative systems is an asset
