**Overview of the Organization**:

**Responsibilities**:
Reporting to the Chief of Staff, the President’s Office Coordinator is responsible for providing administrative support to the Chief of Staff and the office of the President & CEO, in their interactions with internal and external stakeholders. The incumbent should be comfortable working in a fast-paced environment, dealing with a wide variety of work and interacting with others effectively and diplomatically.
Specific responsibilities within the above areas include:
**Meeting Facilitation & Scheduling**
- Coordinate schedules, meeting invitations, agendas, minutes for engagement with various teams, as well as the Chief of Staff or President & CEO
- Host and facilitate virtual meetings, as required
- Assist with travel planning for Chief of Staff or President & CEO
**Administrative Support**
- General administrative support to Chief of Staff, including but not limited to:
- Daily clerical tasks, requests for information, maintaining office files and archives
- Providing administrative support to and participating in team training, projects & special initiatives
- Liaising and assisting with tasks related to strategic planning, Spiritual Retreat, Prayer Intentions Team, Social Committee
- Respond to and communicate with Board members, Ministry Partners, Executive Donors, Executive & Leadership Team and staff, as appropriate and directed by the Chief of Staff
**Budget Management**
- Assist in the development and documenting of annual forecasts and budgets for each fiscal year
- Liaise with Finance team as necessary for submitting changes, making requests, and clarifying details
- Process team invoices and expenses for approval in a timely manner
**Events Coordination**
- Support the Chief of Staff in the research, planning and execution of special events
**Education and professional accreditation**:
- Education must include a Community College Certificate, preferably in Office Administration
**Experience**:
- 2-3 years of experience in a professional office setting
- Experience and proven abilities in providing administrative support to internal & external stakeholders
- Experience in a non-profit organization is an asset
**Technical Skills**:
- Excellent verbal and written communication skills
- Exceptional attention to detail
- Strong organizational and time management skills
- Strong Microsoft Office Suite, conferencing tools (Zoom, Teams, Webex)
**Interpersonal Skills and Personal Attributes**:
- Knowledge of and a passion for Bible League Canada and its work
- Excellent interpersonal and communication skills
- Flexible and adaptable to changing conditions, shifting priorities
- Able to multi-task, prioritize and work well in a busy environment
- Proven ability to handle confidential information
**Required Commitment**:
- Follower of Jesus Christ who wholeheartedly subscribes to Bible League Canada’s faith and lifestyle policy documents
- Knowledge of and a passion for Bible League Canada and its work
- In fulfilling your responsibilities, you will be required to pray for and minister to people who contact Bible League Canada either in person, or by phone or other electronic communication, in general inquiries, at conferences and events or fundraising activities
