This role will support the Outpatient Mental Health program and the Child and Adolescent Mental Health Outpatient program.
**Duties**:
- Prepares program-based correspondence in Microsoft Word
- Entering Mental Health Program related data into computer systems using software such as the Microsoft Excel and/or populating spreadsheets/database
- Clarifying unusual data before entry to ensure data correctness
- Identifying data discrepancies appearing in the routine and making appropriate changes to resolve them
- Filing
- Client appointment booking, rescheduling and cancelling
- Books appointments and schedules meetings for staff and physicians
- Registration of clients in Meditech
- Receives, sorts, and distributes all incoming correspondence
- Photocopying and faxing
- Processes referrals for various programs
- Responds to public inquiries about the Mental Health Program
- Attends and take minutes for outpatient meetings as required.
- Assists in maintaining chart information, assembles new charts and retrieves client charts
- Other administrative duties as requested by Manager, Outpatient Mental Health
**Qualifications**:
- Graduate of a recognized Secretarial/Administrative program.
- A minimum of 1 year of recent related experience.
- Ability to accurately type 50 wpm.
- Knowledge of Meditech, Sunrise, and Sovera preferred.
- Excellent written and verbal communication and interpersonal skills.
- Knowledge of the health care environment and familiarity with medical/mental health terminology an asset.
- Demonstrated basic understanding of mental health issues and challenges faced by Outpatient Mental health clients.
- Ability to work with clients who may be in crisis related to mental health or addiction issues.
- Demonstrated ability to organize workload and respond and manage competing priorities in a busy environment.
- Demonstrated ability to take initiative and work independently and under pressure.
- Learns quickly and is able to adapt to a variety of task requests and respond to needs of various team members.
- Satisfactory attendance.
