**Position**

The Program Assistant plays a vital role in supporting the day-to-day financial and operational administration of the SILR and IEPP. This includes coordination of communications, program logistics, reporting, and financial transactions, in alignment with university policies and funding requirements. The position also provides direct administrative support to the Executive Director and acts as a first point of contact for the program.

**Duties**
- Provide administrative and operational coordination for meetings, events, travel, and project reporting
- Draft, proofread, and format routine communications and briefing materials
- Maintain program records, websites, blogs, or other social media devices
- Creates and maintains spreadsheets and/or databases
- Organizes meetings, conferences, seminars and special events on behalf of the area/program(s)
- Serves as recording secretary to area/ program /project meetings and/or Committees
- Sends out surveys or information requests. Supports program evaluation activities
- Assist with finance and HR transactions in conjunction with the associated Finance, HR Partners and Staff Service Centre
- Provides support for the day-to-day financial administration for SILR
- Processes and monitors any requests for petty cash and cash (or direct deposit) and honoraria
- Assists in the compilation of financial information required for various reporting purposes, including all reporting required by the grant agreements and RSO
- Process financial transactions (e.g., invoices, reimbursements, petty cash, purchasing) as per University policies
- Reconcile monthly purchasing card statements and support year-end processes
- Support budget tracking and grant reporting in collaboration with the Executive Director
Ensure adherence to University of Alberta policies, UAPPOL, and financial guidelines
- Promote efficiency and accuracy in all administrative processes

**Qualifications**
- Diploma in business administration, accounting, human resources, or related field (equivalent experience considered)
- Strong analytical, problem solving, organizational, verbal and written communication, and administrative skills
- Excellent computer skills including proficiency in use of database, spreadsheet and word processing software
- Demonstrate ongoing excellent oral and written communication with all stakeholders from a wide variety of cultural backgrounds
- Knowledge of Indigenous protocols, knowledge systems and practices
- Understanding of Indigenous communities
- Previous experience and contacts at the University of Alberta is an asset
