Facilities Service Coordinator

Full-Time Permanent
- Reporting to _National Manager of Construction & Facilities
- Toronto, Ontario_
- Harry Rosen Inc. Central Office (77 Bloor St. West)_

As the Facilities Service Coordinator, you will be responsible for supporting the following:

- Facility Service Calls, respond to all facility service calls for Stores, Central Office, Mississauga Studio, and Distribution Warehouse
- Seek authorization for requested services, schedule services, and follow up upon completion
- Verify invoices and file/record costs and update call logs on a weekly basis

Administration
- Maintain department mail folder
- Obtain approvals when costs exceed regular maintenance agreements
- Submit approved invoices to the Accounts Payable department for payment
- Maintain inventory of construction and display items stored in the Warehouse
- Update store emergency contact information bi-annually
- Support Facilities, Construction, and Visual Display departments with ad-hoc tasks

Store Maintenance Schedules
- Schedule and follow up on all property management disciplines
- Advise stores of their regular HVAC, boiler, and carpet and hard surface maintenance/cleaning
- Follow up on all scheduled maintenance and cleaning appointments and communicate concerns, as required

Store Lighting Maintenance
- Place orders and distribute lighting upon receipt of re-order forms
- Conduct follow-ups to ensure all scheduled work is completed and communicate concerns, as required

Health and Safety
- Follow Health and Safety guidelines as established by the Company
- Ensure compliance with provincial governing agencies (TSSA/TSBC/AEDARSA)
- Schedule and ensure completion of legislatively required annual inspections
- Stay abreast of changes to H&S legislation to ensure ongoing compliance
- Diploma or degree in Administration, Construction & Compliance or Store Facilities/Operations discipline
- 2-3 years of experience in-store operations, property management, and scheduling
- Solid understanding of store facilities and store maintenance and scheduling work orders
- Effective planning, prioritizing, and store repairs
- Able to demonstrate out of the box problem-solving skills
- An exceptional orientation to detail and strong analytical skills
- Ability to work and thrive in an agile environment with cross-functional teams
- Ability to work effectively under pressure and act as a self-starter
- Excellent written and verbal communication skills
- A strong sense of urgency with the proven ability to set and meet deadlines
- Exceptional computer skills, specifically Excel and Outlook
- Retail experience is an asset
