**Position Overview**

The Administrative Assistant provides essential support to the Safety Team and the Director of Safety Programs at the Manitoba Association for Safety in Healthcare (MASH). This role requires strong organizational skills, attention to detail, and the ability to manage multiple administrative responsibilities efficiently. This position reports to the Director of Safety Programs and participates as an administrative member of the Safety Team.

**Qualification Requirements**

**Education**
- Completed high school education, Manitoba standards.
- Formal training in applied office skills is required.
- Occupational Safety and Health education, certification (achieved or pursuing) would be considered an asset.

**Experience/ Skills**
- Minimum five (5) years of administrative experience, preferably in healthcare or health & safety.
- Proficiency in Microsoft 365 (Word, Excel, SharePoint, Teams, PowerPoint).
- Experience with Dynamics 365 and SkillsPass is an asset.
- Strong organizational skills, including scheduling meetings, training sessions, and travel accommodations.
- Ability to record minutes, prepare agendas, and maintain accurate documentation.
- Experience managing spreadsheets, databases, and data analytics for reporting purposes.
- Excellent verbal and written communication skills.
- Ability to prioritize tasks independently, work efficiently under pressure, and meet deadlines.
- Strong attention to detail and commitment to confidentiality.

**Duties and Responsibilities**
- Schedule and coordinate virtual and in-person training sessions, including booking rooms.
- Manage SkillsPass training setup and send calendar invites to trainers.
- Prepare and distribute training materials, including manuals, attendee lists, and surveys.
- Assist in inventory management of training manuals and order supplies as needed.
- Create, grade, and distribute training certificates and course results.
- Collect, analyze, and share survey feedback from training sessions.
- Prepare meeting agendas, record minutes, and distribute materials.
- Organize conference materials (handouts, swag, ballots) and manage post-event tasks.
- Maintain and update databases related to training, certification, and safety programs.
- Assist with WCB reporting, compiling training numbers, course details, and consulting data.
- Participate as an active team member, ensuring collaboration and confidentiality.
- May perform other related duties as required, within the scope of the role.

**Conditions of Employment**
- This position may require travel within the province and therefore requires a Class 5 vehicle driver’s license and reliable transportation.
- Work from Winnipeg office location a minimum of three days per week with potential to work remotely as required.

**About MASH**

The Manitoba Association for Safety in Healthcare Inc. (MASH) is Manitoba’s new healthcare specific industry-based safety program (IBSP) and certifying partner for healthcare organizations. Its main purpose is to educate employers and improve the safety and health of workers in Manitoba workplaces that are part of the healthcare industry. MASH will provide relevant, customized services that respond to the diverse needs, hazards and risks specific to healthcare with an in-depth understanding and targeted strategies to support safe, productive workplaces.

Pay: $49,468.00-$59,872.00 per year
