**Busy Real Estate Team is seeking an Administrative Assistant**
**Must own a vehicle**
**Must have at least 2 years of Real Estate Admin Experience**
**General Duties**:
- Making and taking Phone calls
- Record keeping and filing/updating Drop Box, Google Calendar etc.
- Support of other Team members (licensed and unlicensed) as needed
- Database management (Ixact or other CRM based system)
**Listings: Coordinate the Listing Process**
- Client presentation preparation / research
- Property CMA’s (Comparative Market Analysis)
- TREB paperwork preparation - listing data / description
- Feature Sheets, Websites, Social Media

- Write ads
- “Showing” feedback
- follow-up with Agents
- compile written feedback for Clients
- Client Survey & Moving Tips Brochures Delivered
**Buyers**:
- Create CMAs
- Make showing/inspection appointments for Team member(s)
- Set-up buyer searches and maintain prospect matches
- Prepare offers in Web Forms, SkySlope, Authentisign, Digisign
- Client survey delivered upon successful sale
**Deals**:
- Trade records - ensure all necessary documents are in place and have reminder in place for necessary missing paperwork or requirements
- Update database for future mailing and contact of client
**Database**:
- Maintain database - ensure integrity of data
- Ensure tracking data within database continues to support teams needs
- Provide necessary reports for mailings, events etc.
**Gift Tracking Program**:
- Manage gift “thank-you” program
- Maintain database of gifts; type of gift, cost, date provided
**Referral Tracking Program**:
- Track all in-coming referrals
- Provide initial thank you card and gift - track type of gift and amount
- Provide final thank you card and gift for successful close to transaction
- Ensure database tracks the following: Who referred, when, type, person’s name, # of referrals to date & gift(s) provided
**Client Events**:
- Play coordinator/support role for client events
- Ensure database is up to date and directed to proper clients
- Help manage the event, providing budget and plan for each event
**Farm Area**:
- Track database of sales for respective Farm areas
- Help coordinate monthly newsletter and reporting
- Coordinate other mailings to farm area as needed
**Important characteristics**:
- Strong technical ability and familiarity with Excel, Instagram,
- Minimum 2-years real estate admin experience and familiarity with TREB searching
- Attention to detail
- Team oriented
**Salary**: $65,000.00-$75,000.00 per year plus per team deal bonus (approximately $10,000-$15,000) based on experience and qualifications
Location: in Don Mills office 1-2 days per week /work from home combo
**Job Types**: Full-time, Permanent
