**Sales Administration Coordinator/Receptionist (Bilingual)**

In this role of Sales Administration Coordinator/Receptionist, you will be responsible for providing support to our Sales and Service Teams, while helping the General and Environmental Affairs team by responding to incoming calls, greeting visitors, and ensuring the office environment is well maintained.

**Key Responsibilities**:

- Process Canon equipment relocation requests
- Assist the billing team and processing the requests
- Collect information from an appropriate sales representatives and liaise with dispatch and warehouse to schedule the relocation and generate any invoices
- Administer the pickup request inbox for Canon’s leasing finance partner
- Create return orders
- Create and send customer return instruction letters
- Confirm with Warehouse that the return merchandise is received
- Process equipment pick-up requests
- Generate and review weekly reports to reconcile returned equipment; escalate any discrepancies to the appropriate sales representative
- Greet visitors, answer and address incoming phone calls in a timely and polite manner
- Purchase and procure office maintenance services and supplies as per established policies and guidelines; schedule and act as the primary location contact for maintenance and facilities contractors
- Act as a point of contact for branch Health and Safety concerns and train employees on evacuation procedures
- Create and terminate employee access cards and respond to security alarms
- Maintain the Environmental Management System and ensure that the office follows policy
- Assist with entering and booking travel requests
- Supporting the various departments by coordinating and organizing branch activities and meetings

**To Succeed, You Will Need**:

- Fluency in French and English
- Ability to multi-task and manage priorities
- High degree of accuracy, attention to detail, able to meet deadlines.
- Excellent time management, communication and interpersonal skills
- Good knowledge of Microsoft Office with a focus on Excel
