**Job Summary**
We are seeking an energetic and detail-oriented Office & HR Coordinator to join our dynamic team. In this pivotal role, you will manage essential administrative functions, support human resources initiatives, and ensure smooth daily operations. Your proactive approach will help foster a positive work environment and streamline HR processes across the organization.

**Responsibilities**
- Work together with management on developing annual HR objectives
- Support company culture initiatives and employee engagement
- Draft job postings, employment agreements, offer letters, IP agreements, and Non-Disclosure Agreements
- Lead new hire orientation and onboarding programs
- Support development and maintenance of a competitive compensation program
- Maintain organized and accurate employee records and HR documentation
- Support resolution of workplace disputes and employee concerns
- Maintain awareness of labour laws and employment regulations
- Maintain safety records, incident reports, and required training documentation
- Use and maintain HR information systems and digital HR records

**Required Qualifications**
- Postsecondary diploma or degree in Human Resources, Business Administration, or related field
- 3+ years of HR experience
- Experience administering benefits and supporting payroll processes
- Knowledge of employment legislation and workplace compliance requirements
- Experience maintaining confidential employee records

**Required Skills**:

- Strong interpersonal and conflict-resolution skills
- Sound judgment and discretion with sensitive matters
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Ability to work independently and manage multiple priorities
- Analytical skills for workforce reporting and planning

**Preferred Qualifications**
- CHRP, CHRL, SHRM-CP, or working toward an HR designation
- Experience in a fast-paced growing company environment
- Experience with HRIS and applicant tracking systems
- Knowledge of workplace health & safety programs
- Prepare reports related to workforce metrics, employee growth, and organizational planning
- Contribute to a positive and organized work office culture
- Contribute to employee well-being through organizing and maintaining office common spaces such as kitchen and break areas
- Assist with basic billing records and communication with the finance team
- Assist with record keeping and communication with building services such as janitorial and disposal
- Other tasks as assigned
- Organize and maintain the company safety committee
- Help enforce workplace safety procedures and standards
- Ensure compliance in Canada and the USA where applicable
- Update HR policies and procedures to reflect legislative changes
- Manage harassment policy reviews and ensure employee acknowledgements are completed
- Together with management, work to develop and maintain handbooks, policy manuals, and standard operating procedures
- Participate in employee investigations and maintain documentation
- Help maintain a legally compliant, respectful, and productive work environment
- Track probation periods and notify managers and employees at the 3-month completion point
- Ensure policy acknowledgements, agreements, and employment documents are properly signed and stored
- Maintain HRIS data accuracy and personnel files
- Administer employee benefits programs and liaise with providers
- Clearly explain benefits offerings and enrollment processes
- Ensure required benefits forms are completed and submitted
- Conduct safety orientation walkthroughs and complete required documentation
- Provide instructions for internal systems, benefits platforms, and required tools
- Manage recruitment processes including screening, interviews, reference checks, and background verification
- Contribute to equity, diversity, and inclusion (EDI) efforts
- Promote a respectful, inclusive, and discrimination-free workplace
- Ensure fair treatment and equal participation for all employees
- Support employee growth projections and workforce planning

Pay: From $55,000.00 per year
