Office Administrator

Location: In office, 170 Laurier Ave West, Suite 310, Ottawa, ON K1P 5V5
Reporting To: Vice-President of Corporate Operations

We are searching for an experienced and talented office administrator who is excited to shape a new role that is critical for our entire Larus Team. Use your experience to take initiative to establish and implement procedures and be the “go to” general office resource for our growing team, executives and a talented team comprising of data scientists, researchers, developers, project managers.
**Key Responsibilities**:
- General administrative support for our executive team comprised of our CEO, VP R&E, and VP Corp Ops;
- Act as a delegate for and manage the calendars of the executives;
- Organize meetings and book virtual and physical resources for meetings;
- Assist the executives with their verbal and written communications with Larus staff and external stakeholders;
- Manage the Larus document repository, including creating and maintaining documents, presentations, and templates;
- Produce and disseminate minutes from meetings involving executives;
- Manage travel planning and bookings for the executives;
- Manage visitor lists, sign-in forms, and guest security procedures;
- Perform routine IT tasks under the guidance of the IT manager;
- Coordinate the outsourcing of the fabrication and printing of marketing materials, including brochures, banners, and other branded materials;
- Liaise with building management on routine matters;
- Order, manage and maintain inventory, i.e., equipment, and supplies; and
- Perform other ad hoc tasks, e.g., ordering supplies, assisting with tradeshow booth setup, and running short errands;
- Human Resource Administration tasks include, but not limited to, employee data management, organization charts, interview co-ordination, employment agreement preparation and new hire onboarding, health and safety representative; and,
- Other duties as assigned.
**Requirements and Qualifications**:
- A minimum of a high school diploma, post-secondary education considered an asset;
- 3 or more years of office administrative experience;
- Experience providing HR administrative support;
- Strong communication skills;
- Ability to perform light physical tasks;
- Ability to work in a dynamic, fast-paced work environment;
- Organized and focused;
- Proficient in English;
- Proficiency in French is preferred and would be considered an asset; and
