KPMG is seeking a dynamic Executive Assistant to provide senior-level support to the Office of the CEO. This pivotal role is responsible for delivering comprehensive administrative and operational assistance, ensuring the timely and effective execution of projects while enhancing overall team efficiency. This position will require 5 days a week in-person attendance in our Toronto office.
What you will do:
- ** Calendar Management -**Manages calendar/schedule, maximizing the best use of the CEO’s time by managing requests and commitments through coordinating and prioritizing requests, while ensuring deadlines are met. Proactively and independently identifies, resolves, and manages calendar conflicts.
- ** Communication Management -**Reviews and distributes various communications for CEO. Handles routine communications on behalf of CEO and reports on actions taken.
- ** Document preparation -**Prepare meeting materials, including briefing documents and agendas, and document meeting minutes while following up on action items. Assists with coordinating, creating, preparing, editing, and proofreading all standard and non-standard documents, reports, presentations, and correspondence using MS Office suite.
- ** Travel Management -**Arrange complex travel plans, both domestic and international, including business visa requirements.
- ** Meeting Management -**Coordinates and manages the scheduling of meetings, leadership meetings, and external events (conference calls, video conferences, in person, etc.). Plan and organize meetings, create briefing documents as required including logistics/securing meeting space, catering, and agenda and document preparation.
- ** Expense/Time reporting -**Completes, reconciles, and ensures timely submission of time and expense reports for the CEO. Effectively track and reconcile expenses and submission of time reports.
- ** Invoices management -**Ensuring invoices are processed and approved on time to avoid late payment. Acts as a liaison between Partners and Delivery Centre on billing requirements, as applicable.
- ** Administrative Support to the CEO’s leadership team -**provide administrative support to the CEO’s leadership team.
- ** Event Management**:Plan and coordinate internal and external meetings, executive dinners, corporate events, and leadership meetings. Coordinate logistics, including securing venues, catering options, guest lists, invitations, seating arrangements, menus. Ensure all dietary restrictions and special requests are accommodated.
- ** Office Management**:Oversee office supply orders and support equipment procurement
- ** Ad Hoc - Projects Support -** provide support to ad-hoc projects for the CEO / CEO Leadership Team.
What you bring to this role:
- College diploma or an equivalent combination of education/experience in administrative assistant skill set.
- 5+ years administration experience supporting senior level or C-Suite executives in a complex and highly regulated industry.
- Advanced skills with MS Office Products, in particular, Microsoft Word, Outlook, Excel, and PowerPoint
- Excellent communication skills.
- Good judgment and analytical skills with a focus on attention to detail.
- Capable of working independently and taking ownership of tasks.
- Proactive in anticipating and responding to team's needs and manage multiple priorities in a highly organized manner.
- Ability to handle highly sensitive and confidential information requiring a high level of discretion.
