Job Summary

The Office Manager will play a critical role in managing our daily operations, coordinating between

departments, and ensuring the smooth functioning of our HVAC business. This position requires a

proactive individual with excellent organizational, communication, leadership, and in-house

marketing skills.

Key Responsibilities

Administrative Management:

- Oversee day-to-day office operations to ensure a productive and efficient work environment.
- Manage schedules, meetings, and communications between departments (marketing, sales, and installation - Maintain accurate records, documents, and files.

CRM and Lead Management:

- Implement and manage the company?s Customer Relationship Management (CRM) system.
- Ensure leads are tracked, followed up on, and distributed to the sales team effectively.
- Monitor lead progress and generate regular performance reports.

In-House Marketing:

- Develop and execute local marketing strategies to drive lead generation and brand awareness.
- Track marketing performance metrics and provide reports on campaign effectiveness.
- Organize community outreach efforts, such as sponsorships or local events, to increase visibility.

Team Coordination:

- Support the recruitment, onboarding, and training of new hires, especially sales reps.
- Collaborate with the marketing team to track campaign results and align efforts.
- Schedule and coordinate HVAC installations with customers and the installation crew.

Customer Service:

- Handle customer inquiries, complaints, and follow-ups with professionalism and efficiency.
- Ensure a high level of customer satisfaction by addressing issues promptly.

Financial and Operational Oversight:

- Assist in managing budgets, invoices, and vendor relationships.
- Track operational expenses and identify areas for cost savings.

**Qualifications**:
Experience and Skills:

- Minimum 3 years of experience in office management or a similar role, preferably in the HVAC or home - Proficiency in CRM systems (e.g., HubSpot, Zoho, Salesforce) and office software (MS Office Suite).
- Exceptional organizational, multitasking, and time-management skills.
- Strong communication and interpersonal abilities.
- Proven leadership skills and the ability to manage teams effectively.

**Education**:

- Post-secondary education in business administration, marketing, management, or a related field (preferred).
