**Position Description**:
Reporting directly to the Senior Clinical Manager, the **Supervisor of Administrative Services** will act as the Program’s administrative leader by managing and coordinating all administrative support for the Paediatric/Respiratory Medicine Inpatient Program (7BCDE). You will be in a supervisory role, and a communication link in the absence of the Senior Clinical Manager.
The Administrative Supervisor role in this portfolio creates an exciting opportunity for an individual to provide leadership, guidance and expertise to improve service delivery through enhancements to administrative and scheduling processes in this large inpatient program. The role is pivotal in the day to day operations, requiring a solid understanding of the department, hospital, organizational policies and procedures.
The role involves innovating to bridge potential gaps patients may experience throughout the continuum of care, thus directly impacting service delivery to patients and families. This is an opportunity to develop this role further, to collaborate in setting and achieving objectives that will drive performance to improve the quality and safety of patient care.
**Here’s What You’ll Get To Do**
- Facilitate the build and maintenance of the schedule for both administrative and nursing staff on 7BCDE.
- Monitor for resource capacity and planning - workload planning.
- Monitor trends/patterns and track data related to compliance with scheduling requirements and absenteeism. Provide feedback to clinical managers related to these trends/patterns and collaborates in implementing initiatives to address areas for improvement.
- Maintain organizational structure to ensure the provision of efficient and effective administrative and support services by managing the day-to-day activities of administration, customer service, information technology within the Program.
- Establishing, managing and maintaining formal processes, protocols and procedures that ensure continuity of service and support to guarantee smooth progression of clinical services/activities, information and reporting.
- Supervisory accountability for all human resource functions for administrative staff by maintaining comprehensive administrative/support personnel policies, processes and procedures that promote optimal performance
- Ensure appropriate maintenance of program facilities, including space and equipment
- Prepare and submit operational reports as required (financial, administrative, and other process indicators) to support program/organizational requirements, strategic planning and promote departmental accountability.
- Manage special projects for the program and develop protocols/practices that maximize team collaboration, standardized processes, project completion and evaluation
- Develop and implement information technology maintenance programs in order to maintain optimal performance standards.
**Here’s What You’ll Need**
- Business Administration Diploma or Certificate (preferred)
- Minimum of 5 years’ experience as Supervisor/Team Leader in Administration, preferably in a health care setting (preferred)
- Working knowledge of EPIC, KidTRAC, Lawson, ExpressNet and HR Direct preferred
- Strong communication, interpersonal and team building skills
- Demonstrated experience in recruiting, managing, coaching and developing others
- Ability to advocate, motivate and influence others in order to gain their support and commitment
- Demonstrated critical thinking and problem solving skills
- Ability to understand and respond appropriately to the concerns of others
- Ability to establish and manage relationships with internal staff and external stakeholders
- Demonstrated resilience in a range of complex and demanding situations
- Demonstrated ability to manage operations and service delivery
- Knowledge of medical terminology
