As our operations grow, we’re seeking a reliable and detail-oriented assistant to support backend processes, compliance, marketing coordination, and financial reporting.
**Role Overview**:
We’re looking for a proactive and organized **Administrative Assistant** to work directly with our leadership team. This role is ideal for someone who thrives in a structured environment, has strong attention to detail, and can manage multiple projects at once. Your goal will be to save leadership time by handling essential operational tasks across compliance, CRM, marketing, and commissions.
**Key Responsibilities**:
- **CRM Management**:
- Maintain and update client records in BluMortgage and other platforms
- Monitor lead pipelines, task reminders, and broker notes
- **Compliance & Documentation**:
- Support in document tracking for underwriting and lender compliance
- Ensure accuracy and consistency across client files and templates
- **Marketing Assistance**:
- Assist with community engagement tracking and event logistics
- **Financial Admin & Bookkeeping Support**:
- Prepare **weekly commission breakdowns** using provided data
- Act as **secondary point of contact for our bookkeeper** for document requests or reconciliations
- **Administrative Support**:
- Perform data entry, file management, and calendar coordination
- Support onboarding of new agents and ensure internal systems are up to date
**Skills & Qualifications**:
- Strong organizational and communication skills
- High attention to detail, especially in numbers and document handling
- Familiar with Google Workspace, Excel, CRMs (e.g. BluMortgage), and cloud-based tools
- Experience in financial services, accounting, or mortgage industry (preferred but not required)
- Ability to work independently and maintain confidentiality
