Program Administrator and Coordinator, Music

Holland Bloorview is an academic hospital, fully affiliated with the University of Toronto. All clinical staff are expected to contribute to the academic agenda through one or more of the following activities: supervising students, teaching, academic service, scholarship and research. All non-clinical staff are encouraged, when appropriate.
This position provides administrative support to the Music and Arts and Respite teams; in addition, it provides project management support to Music and Arts. Key accountabilities include registration database management, fee collection, scheduling, stakeholder engagement, and identification of solutions to increase efficiencies. This role is the one full-time role that keeps the programs functioning and efficient and is key to the overall effectiveness of program delivery. Communication and engagement of colleagues, clients and families is integral to the role.
Budget management is essential to the functioning of the programs and therefore accurate and timely fee collection is imperative to the efficiency and smooth operations of the programs.
This is a temporary full-time position expected to be 18 months in length.
**Key Responsibilities**
- Day-to-day program administration for Music and Arts and Respite programs
- Registration, scheduling, and coordination of programs (Music, Arts and Respite)
- Financial Management including fee collection and monitoring of non-compensation budget lines.
- Managing relationships with stakeholders (clients and families, music, arts and respite clinicians, community partners, etc.)
- Music and Arts Project Management
- Work collaboratively to ensure high quality client and family experience.
- Take phone calls from parents, redirect calls to the appropriate clinicians/colleagues, coordinate communication between clinicians
- Participate in quality improvement initiatives, supports the maintenance of a safe and healthy work environment and advances a culture of client/patient safety through work and daily practices
- Perform other duties as assigned
**Qualifications**
- Graduate of a relevant college program or equivalent
- Adaptable, flexible, detail oriented
- Strong organizational skills with an ability to multi-task and prioritize
- Proven ability to independently take initiative and be self-driven
- Well-developed, tactful, and professional interpersonal and communication skills
- Working knowledge of data-base and financial management
- Strong customer service and communication skills - written and verbal
- Ability to identify process improvements and implement change
- Experience in administrative support, project leadership and change management
- Ability to work effectively with all team members, particularly those that are casual and part-time
- Demonstrated ability to communicate effectively with clients, families, volunteers, visitors, and other team members
- Ability to work effectively with multiple individuals and teams
- Knowledge of Filemaker Pro and/or equivalent, preferred
- Knowledge of Meditech, preferred
