**Job Summary**:
The Payroll Assistant ensures that all tasks assigned by the Payroll & Billing Lead are completed on time, and assists in all day-to-day operations of the Payroll Department.
**Primary Responsibilities and Duties**:
- Process all timesheets, travel forms and receipts submitted by the external employees
- Ensure all hours, reimbursements and deductions are logged appropriately
- Calculate the correct pay data for all external employees, inclusive of over time, allowances and reimbursements, based on provincial guidelines and the individual contractual guidelines of each assignment
- Receive approval from management for any additional or special payments, when needed
- Assist in preparing and processing payroll for external employees through online payroll processor system (Ceridian)
- Set up and assist with managing the online mailer system for employees to receive wage statements and tax forms in individual accounts
- Set up new employees’ personnel information, including tax deductions and benefits in Ceridian (online mailer system)
- Keep track of the hour rates, wages, new hire information etc. for all external employees
- Address management’s and employee’s issues and questions regarding payroll
- Prepare bi-weekly payroll reports prior to the payroll import
- Review and adjust all timesheets and call logs to ensure correct wages are paid and all contractual guidelines are met
- Track and pay all educational reimbursements approved by Clinical Department, and any other license reimbursements
**Qualifications**:
- Successful completion of an accounting diploma, certificate or relevant experience
- Proficiency in computer skills including Microsoft Office
- Typing speed of 40 WPM
- Experience in Payroll is an asset
- Understanding and knowledge of overtime rules and guidelines of different provinces is an asset
- Basic knowledge of the healthcare system in Canada
- A keen learner, willing to meet and exceed goals and expectations
