**About the Position**:
The schedule is Monday to Friday, 8:30am - 4:30pm.
Comfortable working independently, as well as part of a team, as they will be required to manage tasks on their own as well as collaborate with other Office Administrators and report to the Office Manager.
**Responsibilities**:
- **Reception (40%)** - managing and directing phone calls, greeting clients, handling couriers etc.;
- **AP/AR (15%)** - writing cheques, collection calls, daily bank deposits;
- **Basic Accounting (10%)** - entering payables into QuickBooks, assisting the Office Manager in preparation of invoicing, preparing basic reports;
- **Organization** **(20%)** - maintaining client files, event scheduling, ordering lunches, managing stock levels of office supplies.
- **General Office Support (15%)** and other admin tasks as required.
The amount of time dedicated to tasks may change as needed.
**Skills and Qualifications**:
- 1+ year of experience as a Receptionist is preferred;
- 1+ year of experience in AP/AR is preferred;
- 2+ years of experience as an Administrative Assistant is an asset;
- Customer service, hospitality and/or retail experience is a strong asset;
- Proficiency with MS Excel and QuickBooks Online is preferred;
- Proactive and self-starting approach to managing daily tasks to ensure the office is functioning optimally;
- Ability to learn, adapt and follow deadlines, while maintaining a strict level of attention to detail;
- Ability to focus on multiple complex tasks simultaneously until completion;
- Ability and willingness to regularly follow up with all stakeholders to ensure current matters are addressed appropriately and in a timely fashion;
- Outstanding verbal and written communication skills;
- Pleasant phone manner and interpersonal skills;
- Ability to think outside the box when it comes to solving unique tasks;
- Willingness and initiative to problem-solve and optimize when issues arise;
- Maintaining a positive attitude and work environment.
