**Job Summary**

**Responsibilities**
- Manage and coordinate calendars using Microsoft Outlook Calendar and Google Workspace to schedule meetings, appointments, and events efficiently.
- Provide executive administrative support including drafting correspondence, proofreading documents, and transcription tasks.
- Organize and maintain files, records, and data entry systems to ensure easy retrieval and accuracy.
- Assist with event planning and project coordination for company events or initiatives.
- Handle phone etiquette on multi-line phone systems, screen calls, and direct inquiries appropriately.
- Perform bookkeeping and basic QuickBooks data entry to assist with financial record keeping.
- Oversee office management duties such as filing, front desk reception, and office supply inventory.
- Utilize Office experience including Microsoft Office Suite (Word, Excel, PowerPoint) for various administrative tasks.
- Support personal assistants’ duties by managing personal schedules or errands as needed.
- Use DocuSign, Adobe PDF for electronic signatures and facilitate document signing processes.
- Provide customer service support by responding to inquiries professionally and courteously.

**Skills**
- Proven experience in administrative roles with strong organizational skills.
- Excellent typing speed with high accuracy; proficient in data entry and proofreading.
- Skilled in project coordination, event planning, and office management, RFP management.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Microsoft Teams, and multi-line phone systems.
- Knowledge of QuickBooks, bookkeeping practices, and basic accounting procedures.
- Exceptional calendar management skills using Microsoft Outlook Calendar or similar tools.
- Effective communication skills with professional phone etiquette.
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail.
