The **Purchasing Assistant **is responsible for assisting in the coordination of the purchase of products and raw materials. This role handles all important administrative and data entry responsibilities related to purchases, order tracking, purchase agreements, and product records. Reporting to the Director of Purchasing, you are a highly organized and analytical person with an aptitude for numbers, have a high attention to detail, with strong communication skills and a track record of delivering exceptional support within a supply chain team with a positive attitude, customer-centric approach and desire to learn
**Who You Are: Core Responsibilities**:
- Update and maintain purchasing-related information in the ERP system
- Update, maintain and track product on inbound reports
- Process and file proforma invoices, sales confirmations, and purchase orders as required
- Review vendor customs documents and forward to appropriate external and internal stakeholders
- Review all open POs and update ERP as necessary
- Maintain and update vendor term documentation and overseas calendar schedule
- E-file vendor agreements and other related purchasing documents
- Track inter-customs documentation to appropriate internal stakeholders
- Collect vendor scorecard data
- Coordinate and record minutes for purchasing meetings
- Ensure vendor pre-ship documents are on hand and accurate
- Maintain and update item information for raw material database
- Generate purchasing reports as assigned
- Provide backup coverage to the Purchasing Team
- Participate in purchasing-related projects
- Minutes keeper for purchasing related meetings
**What YOU BRING- Qualifications**:
- 1-2 years in a previous inventory/purchasing/supply chain role or relevant training/education
- Experience with Office 365: Excel - intermediate and above, Word & PowerPoint - working knowledge
- High attention to detail and ability to prioritize work
- Excellent written and verbal communication skills
- Strong organization, analytical and time-management skills
- Has an aptitude for numbers
- Ability to work within a team and under pressure
- Adaptable, flexible, supportive
- Positive attitude and customer-centric approach
- Bonus points for spoken Cantonese and Mandarin
- Experience with an ERP system (Microsoft Dynamics GP)
