**WHO ARE WE?**

The **College of Traditional Chinese Medicine Practitioners and Acupuncturists of Ontario (CTCMPAO)** regulates the practice of traditional Chinese medicine (TCM) and acupuncture in Ontario. The College exists to serve and protect the public interest by ensuring that all registered TCM practitioners and acupuncturists in Ontario are qualified to practise, maintain professional Standards of Practice, and are held accountable for their conduct. CTCMPAO protects the public and ensures their right to receive high-quality, safe, and ethical TCM and acupuncture care in the province. The College operates in a non-unionized environment and is located just north of Toronto in the suburb of Thornhill, Ontario.

**ABOUT THE ROLE**

Reporting to the Manager of Policy and Governance, the Communications Coordinator is responsible for the planning, development, production, maintenance, and delivery of a full range of College communications and stakeholder engagement materials, in a variety of media, using the most appropriate and effective communications methods and channels.

**KEY DUTIES AND RESPONSIBILITIES**

**Website Management**
- Working with the Manager and other College departments, update the College website as necessary to ensure that content is current, accurate, and relevant.
- Working with other College departments, draft content for the website as needed.
- Assist the Manager and IT staff in the upgrades and maintenance of the website, and document feedback from registrants, stakeholders, and the public regarding website functionality.
- Monitor Google Analytics and search engine rankings to identify areas for improvement.
- Monitor the website for brand consistency, the functionality of the site, links, and resources, monitoring best practices concerning the College’s accessibility obligations.
- When necessary, work with the Manager and IT team to create new website graphics and materials and refine existing content.

**E-Communications**
- Plan and develop content for e-communications as necessary.

**Social Media**
- Plan and draft content for the College’s social media channels (Facebook, Twitter, LinkedIn).
- Develop the College’s social media strategy and maintain a social media posting schedule that delivers College updates and informative postings for the public and registrants.
- Monitor the channels and flag messages, tags, and comments and bring them to the attention of the Director and department managers when they require a response.
- Monitor issues and trends affecting the College and its stakeholders and prepare summary reports for the leadership team.
- Monitor analytics for reporting and identify areas for improvement.

**Communication Videos**
- Develop and manage the College’s communications strategy plan for creating informative and educational videos for registrants and the public.
- When possible and appropriate, create videos internally using graphic design/video editing software and platforms (Adobe Creative Suite, Vyond, etc.).
- When necessary, coordinate with external vendors on the production of communication videos to bring more awareness to the public, registrants, and stakeholders on the College’s mandate, functions, and responsibilities.
- Working with other College departments and external vendors (when necessary), develop scripts for communication videos.

**Webinars**
- Working with the Manager, and the Quality Assurance department, assist and coordinate in the planning and hosting of College educational webinars for registrants.
- Using GotoWebinar (or other webinar hosting platforms) and Mailchimp, distribute e-communications relating to College hosted webinars.
- Using GotoWebinar (or other webinar hosting platforms), manage the registration of webinar attendees.
- Working with other departments, develop and manage a schedule for hosting additional future webinars for registrants.

**Corporate Communications**

Create, manage and produce various corporate communications tasks and projects for the College:

- Provide support to the College for the publication of various online and print materials which include editorial planning, writing, proofreading, and editing of content, producing layouts, managing pre-print, and production processes.
- Coordinate the digital and print production and distribution of the College’s Quality Assurance and Professional Practice materials, such as Standards of Practice, guidelines, workbooks, forms, and brochures.
- Working with the Registrar’s office, other departments, and external third-party vendors (if necessary), plan, manage and coordinate the production of the College’s annual reports, PowerPoint presentations, and other relevant communication materials.
- Maintain the College’s brand standards and ensure all communication materials accurately reflect the College’s brand.
- Provide proofreading and copyediting for all external communications, validating content, and ensuring consistent look
