**Job Duties**
- Receive and self-assign Logistics from Account Coordinators. The Account Coordinator shall provide client signatures on documents where necessary
- Logistics shall include but may not be limited to: Contractors Agreements to perform Arboricultural Services on City owned trees, Underground Utility Locates, Non-Construction related Tree Removal Permits.
- Keep up to date notes on the progress of all logistics.
- Reassign logistics to the appropriate Account Coordinator when permits and/or documents have been received
- Ensure all of the weekly _Scheduled _Plant Health Care (PHC) work orders are updated.
- Notify clients of their scheduled Plant Health Care treatment visit (time and date).
- In the event that the client wishes an alternative date/time for the schedule PHC treatment, notification shall be given to the appropriate Account Coordinator in order to have it re-scheduled.
- Implement and maintain the Accounts Receivable process
- Keep up to date notes on the progress of all unpaid invoices through the use of Comments in BUK (at the invoice level).
- Produce 15 day, 30 day, 60 day, 90 day and 100 days overdue account reports
- Perform bi-weekly audits of the quotes still sitting in the “_sent_”.
- In event that the customer with the “_sent_” status quote can not be reached, a hard copy of the quote shall be printed and mailed to the client’s address at which point the quote shall be manually “marked as viewed”
- Keep up to date notes on the progress of all “sent” to “viewed” quotes.
- Perform bi-weekly audits of the completed planting work orders.
- Assist Account Coordinators in mailing tasks as needed.
- Provide top quality customer service when engaged with Cohen & Master clients, prospects or leads
- Contribute to a positive work atmosphere edition the Cohen & Master office.
**Requirements**:
- Completion of a post-secondary education program
- Minimum one year of related experience working in a similar position.
- Computer fluency (MS Office (Excel), Internet)
- Ability to multitask, prioritize, and work effectively
- Strong organizational and time management skills; multi-tasking
- Self-motivated and able to work independently or as part of a team
- Ability to communicate effectively in English, both written and oral
- Attention to detail a must
